Position: Operations Officer
Organization: VinFuture Foundation and "For Green Future" Foundation (Vingroup)

Job Description
The Operations Officer will support the day-to-day operations of VinFuture Foundation and "For Green Future" Foundation (Vingroup) and work closely with internal teams and external partners to ensure the effective implementation of the Foundations' programs, projects, and events.
The role requires strong organizational and coordination skills, attention to detail, and the ability to independently manage assigned operational workstreams in a fast-paced environment.
Key Responsibilities
1. General Operations & Internal Coordination
• Coordinate day-to-day operational activities to support the effective implementation of the Foundations' programs and projects.
• Provide operational support to Foundation team members in implementing programs and activities, including administrative procedures, logistics, procurement, payment documentation, and other operational requirements.
• Coordinate with relevant internal departments on matters including HR, training, IT services, procurement, accounting, legal, and other operational requirements.
• Monitor assigned tasks and follow up with relevant stakeholders to ensure timely completion in accordance with internal procedures and deadlines.
• Maintain and update operational, administrative, contractual, and other relevant records and documentation.
2. Guest Logistics
• Coordinate end-to-end logistics for guests, speakers, and other participants attending the Foundations' programs and events.
• Manage travel and hospitality arrangements, including flights, accommodation, ground transportation, meals, schedules, and other logistical requirements.
• Liaise directly with guests and speakers, as well as travel agencies, hotels, transportation providers, and relevant internal teams, to ensure a smooth and professional experience.
• Manage individual itineraries and logistical requirements, and proactively handle changes or operational issues arising before and during visits.
• Maintain accurate guest information, schedules, and logistics records, ensuring timely coordination and communication among relevant stakeholders.
3. Event Operations
• Participate in the planning and execution of Foundation events, including major annual events, competitions, sponsored programs, and other Foundation activities.
• Support in developing and implementing operational plans, event checklists, timelines, and logistics requirements in coordination with relevant PICs.
• Coordinate with venues, vendors, contractors, partners, and internal teams before, during, and after events.
• Independently manage assigned operational workstreams and provide on-site support during events.
• Identify operational risks and issues and proactively coordinate solutions to ensure smooth event delivery.
4. Budget, Procurement & Payment Coordination
• Support the preparation and monitoring of budgets for projects, programs, and events.
• Prepare cost estimates, collect and review quotations, and coordinate procurement processes in accordance with internal policies.
• Track actual expenditure against approved budgets and support budget reconciliation and reporting.
• Coordinate contracts, acceptance documents, payment requests, and other supporting documentation with vendors and relevant internal departments.
• Support cost optimization while ensuring operational quality and program requirements.
5. Process & Documentation Management
• Support the development, implementation, and continuous improvement of operational processes, templates, checklists, and working tools.
• Ensure operational documentation and records are properly maintained, organized, and updated.
• Support compliance with the Foundations' internal policies, procedures, and approval requirements in the implementation of assigned activities.
• Perform other operational and project-related responsibilities as assigned.
Yêu cầu
Education & Experience
• Bachelor's degree in Business Administration, Management, International Relations, Hospitality, Finance, Foreign Languages, or a related field.
• Minimum 2-3 years of relevant professional experience in operations, project coordination, event management, administration, or a similar role.
• Experience in coordinating events, guests, speakers, or complex logistics is strongly preferred.
• Experience in preparing and managing project/event budgets is a strong advantage.
• Experience working in an international, corporate, educational, non-profit, or project-based environment is preferred.
Language
• Strong command of English, both written and spoken.
• IELTS 7.0 or above with no skill below 6.5, an equivalent qualification, or demonstrated professional/academic experience working in an English-speaking environment is preferred.
Skills
• Strong organizational and project coordination skills, with the ability to manage multiple tasks and deadlines simultaneously.
• Strong attention to detail and accuracy, particularly in budgets, documentation, and logistical arrangements.
• Good analytical and problem-solving skills, with the ability to respond quickly and effectively to unexpected situations.
• Strong interpersonal and communication skills, with the ability to coordinate effectively with internal teams, external partners, vendors, guests, and speakers.
• Good numerical skills and confidence in working with budgets, cost estimates, and expenditure tracking.
• Proficiency in Microsoft Office and/or Google Workspace, particularly Excel/Google Sheets, Word/Google Docs, and shared-drive management.
• Ability to work independently on assigned responsibilities while collaborating effectively within a team.
