As Personal Assistant to the COO, you will play a pivotal support role at the heart of Brighton's leadership team. Your mission is to ensure the COO's work flows seamlessly across multiple industries, departments, and brands - enabling decisions, actions and projects to move forward with speed and precision.
KEY RESPONSIBILITIES
Executive Support
Manage the COO's complex schedule, priorities, and correspondence across multiple companies and industries.
Prepare daily briefing materials, talking points, and documents for meetings and presentations.
Anticipate information and resource needs in advance; ensure the COO is always fully prepared.
Handle confidential documents and information with absolute discretion.
Communication & Coordination
Draft, proofread, and translate key communications (Vietnamese ⇆ English) for both internal and external stakeholders.
Act as the first point of contact for the COO - screening communications, requests, and inquiries, ensuring timely and appropriate responses.
Facilitate effective flow of information between departments, leadership, and external partners.
Represent the COO professionally in communications and interactions when delegated.
Meeting & Project Management
Organize and coordinate leadership and cross-departmental meetings; prepare agendas, track minutes, and follow up on deliverables.
Support or lead small to medium-sized projects - including research, coordination, analysis, and reporting.
Assist with basic data analysis and data cleaning, organizing operational datasets to improve accuracy and usability.
Identify patterns or insights from internal reports and present simplified summaries to support the COO's decision-making.
Monitor ongoing initiatives; proactively identify risks or delays and escalate appropriately.
Ensure high-quality documentation and presentation of key projects or reports.
Support the COO in coordinating cross-department operational projects, particularly related to New Store Openings (NSO), ensuring timelines and deliverables are clearly tracked.
Assist in creating and organizing Standard Operating Procedures (SOPs) to standardize processes across BI brands and departments.
Coordinate initial E-commerce setup tasks, including product listing preparation, platform coordination, and launch readiness with relevant teams.
Prepare and maintain operational and management reports, consolidating data from different departments to support decision-making and business visibility.
Operational & Administrative Excellence
Manage travel logistics, expenses, event participation, and itineraries with attention to detail.
Maintain organized systems for documentation, approvals, and project tracking.
Support budget management and procurement processes related to COO operations.
Oversee coordination of executive-level guests, board members, or strategic partners when visiting.
Strategic & Analytical Support
Conduct market, business, or competitor research as needed for executive decision-making.
Assist in preparing presentations, dashboards, and summaries for internal and external use.
Maintain awareness of business priorities, helping align COO time and focus with company goals.
Contribute ideas and insights that improve efficiency, communication, and leadership impact.
Leadership & Relationship Management
Build productive working relationships with leadership teams, brand heads, and external stakeholders.
Represent the COO in select internal or external meetings when required.
Maintain professionalism, confidentiality, and emotional intelligence in all interactions.
Serve as a cultural ambassador, reinforcing Brighton's values and leadership tone.
Personal & Lifestyle Support (as required)
Assist with personal scheduling, travel, and arrangements where professional and personal obligations overlap.
Support organization of private or company-hosted events and functions.
Ensure seamless coordination between personal and business priorities.
Flexibility & Adaptability
Work across multiple office and outlet locations in Hanoi.
Adjust to changing priorities, industries, and work environments with agility.
Yêu cầu
Education & Experience
Bachelor's degree (or currently pursuing) in Business, Communications, Languages, International Relations, or related fields.
From 2 years of relevant experience
Prior internship or experience in a fast-paced, professional environment is an advantage.
Skills & Competencies
Excellent bilingual communication skills (Vietnamese & English), both written and spoken.
Strong organizational and time management skills.
Confidence in live interpretation and translation.
Ability to influence and collaborate effectively across teams.
Quick learner, adaptable to multiple industries and contexts.
