KEY RESPONSIBILITY:
1. Provide daily multiple administrative and executive support to Head of Security
- Make travel arrangements, business travel requests, flight and hotel bookings, visas registration, cash advance, expense settlements for Department Head/some Managers and prepare expense reports; make payment vouchers; etc.
- Manage/control budget related to Purchasing.
- Collate, sort and archive critical materials;
- Review and audit all documents before submitting to Department Head for approval (including but not limited to: BTRs; Payment Vouchers; Advance Request Vouchers; Stationary Requests; Taxi Card Using Requisitions; BE; Letters to customers; POAs; Payment requests for MS; training/regional meeting materials; EMFs; CHRs; etc.)
- Translate documents as required.
- Monthly update departmental organizational chart.
- Schedule and coordinate logistics for meetings and events; organize and manage calendar / schedule(s) for Department Head and/or department; make meeting minutes when required.
2. Be responsible for planning, review, control and reporting:
- Closely monitor monthly actual OPEX (reviewed/analyzed/notified/reported timely)
- Assist Management in Budgeting / Forecasting / OPEX Planning quarterly / yearly.
- Coordinate with Management to plan on Headcount.
- Assist Management on reviewing and finalizing reports of all Teams/Sections of Security Department (Fraud Investigation, Business Investigation, Special Investigation, Internal Security Team, Mystery Shopping, Admin & Data Management)
3. Support to manage compliance and design/improve processes/procedures:
- Monitor and assure the compliance of teams and all employees
- Frequently give ideas / proposals on the improvements & development of Departmental policies & procedures to align with Company's development.
- Assist Management to create the new process/procedure as work requirements
- Responsible to update/modify the active Processes/ templates on MSA system as required from all teams.
4. Handle other related and ad-hoc tasks assigned by Department Head which includes:
- Prepare and submit correct time-sheet of Security Service staff to PD/PSS on a monthly basis.
Identify staff / individual development & training needs; looking for potential candidates, attend board interview when required.
- Duties may also include execution of research, data analysis and preparing reports and/or recommendations.
- Engage/Coordinate in Department/Company's programs/projects on demand and cascade to team members if needed.
Yêu cầu
- Solid knowledge of law; office administration & personnel management.
- Ability to maintain a high level of accuracy in preparing and entering information.
- Able to work under high pressure and in multi-culture company
- Communication, reporting skills; Analytical & Problem-solving skills
- Time Management skills and Presentation skills
- Good MS Office skills
- Advanced English
- Careful and pay attention to details.
