Mission
The Product Stewardship & Regulatory Affairs Officer supports PSRA pillar operations by executing assigned regulatory and product stewardship activities with a strong focus on data integrity, compliance traceability, and timely stakeholder support. The role contributes to pillar specific initiatives, supports quality & certification pillar, process improvements, stays updated on applicable legislation and internal standards, and helps ensure consistent adherence across the defined scope. This role also involves driving complex improvement projects
Reporting & Scope
The Product Stewardship & Regulatory Affairs Officer has a direct reporting line to the Regional Quality & Certification Team Lead and a functional reporting line to the Regional Product Stewardship & Regulatory Affairs Specialist, with a geographical scope for Vietnam.
Main Accountabilities
The main responsibilities of the role include, but are not limited to, the following:
1. Operational Execution & Data Integrity
• Execute assigned PSRA and Quality & Certification tasks to support daily pillar operations, ensuring accuracy, completeness, and adherence to defined controls and work instructions.
• Maintain high data integrity in relevant PSRA datasets and systems, ensuring traceability of actions, approvals, and evidence.
• Support scheduled reviews of defined compliance datasets and ensure corrective updates are completed within agreed timelines.
2. Regulatory Compliance Support
• Support market access and product compliance obligations by completing jurisdictions specific submissions/notifications/registrations and maintaining required evidence records (as applicable by geography).
• Support restricted/controlled product and embargo screening activities by managing required declarations, end‐use confirmations, and internal compliance checks (as applicable).
• Support product onboarding controls by completing assigned stewardship checks for new products and ensuring required compliance steps are documented prior to release.
• Labeling, Documentation & Product Information
• Support label and hazard communication controls by preparing/maintaining label-related data and ensuring alignment to applicable hazard/transport communication requirements (as applicable by geography).
• Update and maintain product documentation in relevant repositories and systems (e.g., product libraries, document repositories, SDS platforms), including mass updates/uploads where required.
• Create assigned product documents where required (e.g., technical product information and regulatory compliance documentation) in line with approved templates and governance rules.
3. Risk & Monitoring Support
• Perform quality & risk‐related PSRA activities within scope, including governance touchpoints and compliance evidence checks as applicable.
• Maintain product/manufacturer risk analysis records by collecting inputs, updating datasets, and retaining evidence for decisions and approvals.
• Administer restriction management activities (data maintenance, waivers, customer/supplier requirements, sector‐specific agreements/attestations), ensuring controlled documentation and traceability.
• Coordinate monitoring plans where applicable by arranging external analysis/testing, tracking results and costs, and documenting non‐compliance follow‐ups.
4. Stakeholder Support & Continuous Improvement
• Handle routine internal inquiries within scope, providing accurate responses or routing complex topics to the Team Lead/Specialist per escalation pathways.
• Contribute to continuous improvement by identifying recurring issues, proposing improvements, and supporting implementation of more complex improvement tasks as assigned.
• Support peer enablement through knowledge sharing and guidance on standard processes and documentation expectations (without formal people management).
• Contribute to continuous improvement by conducting investigations and root cause analysis, identifying recurring issues, proposing improvements, and supporting implementation of improvement tasks as assigned.
5. Certification Schemes & Monitoring Activities
• Execute certification‐related activities within scope (e.g., scheme‐based certifications such as organic, kosher, sustainability/RSPO), including data collection, documentation readiness, and audit preparation support.
• Support verification checks for supplier certification validity where applicable (e.g., certificate validity confirmation and record maintenance).
• Coordinate monitoring plan activities as assigned, including audit plans, tracking results and documenting non‐compliance follow‐ups.

Skills & Competences
1. Education
• Bachelor's degree or higher in Chemistry, Chemical Engineering, Sciences, or an equivalent field may also be considered with substantial relevant experience.
2. Professional Experience
• 2+ years in Product Stewardship / Regulatory Affairs / Quality & Certification execution/support role, operating in a regulated product environment.
3. Regulatory & Technical Capability
• Working knowledge of product stewardship fundamentals (restricted substances, product compliance documentation controls, market access mechanisms, and evidence/traceability requirements).
• Ability to follow structured compliance workflows and maintain high accuracy in regulated documentation.
4. Analytical, Organizational & Communication Skills
• Strong attention to detail with a data quality and documentation discipline mindset.
• Ability to manage multiple tasks, meet deadlines, and communicate status/escalations clearly.
• Customer/service mindset with the ability to respond to inquiries professionally and consistently.
5. Digital & Systems Capability
• Comfortable working with enterprise systems and digital tools; exposure to ERP/CRM platforms (e.g., D365), reporting tools (e.g., Power BI), and PSRA/SHEQ document systems are an advantage.
• Strong capability in maintaining accurate records, evidence, and traceability in systems.
