Animals Asia is currently seeking to recruit a qualified candidate for the position of Project Officer with details as follows:
Position: Project Officer
Employment type: Full-time
Contract duration: One-year contract, extendable based on performance with initial 2-month probationary period
Work location: Tam Dao National Park
Role Purpose: This position is responsible for coordinating procurement activities, including: sourcing suppliers, executing purchases as per requests from Departments, and complying with the Organisation's
purchasing regulations; Assisting in inventory tracking and materials management for all Departments in the Centre (Veterinary, Bear care, Maintenance, Bear Facility, Administration, Events, and Staff Accommodation). The primary goal of this role is to ensure that medical supplies, enrichment items, maintenance equipment, office supplies, and essential operational resources are provided sufficiently, in a timely manner, in accordance with procedures, and cost-effectively. This ensures that rescue operations and animal welfare standards are maintained efficiently without interruption. Furthermore, this role contributes to strengthening and improving purchasing protocols, building relationship with suppliers, assisting in inventory tracking and enhancing cost-efficiency through proactively planning, sourcing suppliers and negotiating with them.
Responsibilities:
Procurement & Purchasing
• Source, purchase, and coordinate the delivery of supplies, equipment, veterinary medicines, and other materials required by the sanctuary.
• Obtain quotations, compare prices, and negotiate with suppliers to ensure cost-effective purchasing.
• Build and maintain positive relationships with vendors and service providers.
• Support procurement for office operations, maintenance activities, meetings, events, and projects.
• Ensure purchases comply with organizational procurement policies and procedures.
Inventory & Supply Management
• Monitor stock levels and coordinate replenishment of supplies.
• Maintain accurate procurement and inventory records.
• Assist with regular stock checks and inventory reporting.
• Coordinate with relevant departments to ensure uninterrupted availability of essential supplies.
Compliance & Administration
• Ensure procurement activities comply with legal requirements and organizational standards.
• Maintain procurement documentation and filing systems.
• Assist with contract administration and supplier performance monitoring.
• Support other administrative and operational tasks as assigned
