Order Management Executive:
Prepare quotations and Sales contracts for spare parts of machine tools and lasers;
Check and confirm customers' purchase orders/sales contracts;
Place internal purchase orders to TRUMPF distribution centres;
Coordinate with over-sea colleagues to follow delivery dates and shipments;
Support in local importation process as well as arrange local delivery to customers;
Prepare invoice and whole set of payment documents for submitting to customers;
Monitor order fulfilment and support to collect payments;
Check and process Letter of Credit, Banker's Guarantee;
Support to deal with customers' claims and inquiries;
Timely update customers and relating internal departments with the order progress;
Save and file data in a tidy and systematic manner;
Enter and follow up to complete orders in ERP;
Generate reports upon requirements;
Sales Admin:
Support
Sales Managers in reviewing sales contract, thoroughly checking payment/delivery terms, making contract appendix/ amendment if required.
Ensure completeness of sales documents in the sales quotation or offer process (e.g. BAFA, EMC, etc...)
Check customer's Letter of Credit (L/C) on terms and conditions, advising amendment as necessary.
Follow-up contract execution, reminding customer of down payments, informing customer of ETD/ ETA, coordinating with internal colleagues and customer on shipping document confirmation, advising to make amendment if necessary.
Coordinate between service department and customer on machine unloading and installation time.
Support to deal with customers' claims and inquiries.
And other works related to business activities of the Company as assigned by the Employer from time to time.
Requirements:
Posses at least 2 year experience in order processing, Logistic or Supply Chain, sales administration or aftersales support.
Thoroughly understand the whole procedure of the country's customs clearance and post-clearance
Be familiar with import export procedures for all types of enterprise including export processing enterprise (EPE) and FDI companies
Understand logistics pricing structure for working in the best cost-effective way
Well verse and proficient in order processing and supply chain management.
Diploma in Logistics, Business, Management or related disciplines in Supply Chain
Computer literacy in MS Office
Excellent skills in task self-organization with high responsibility and accuracy
Careful work ethic, diligent and patient
Good sense of urgency
Good command of written and spoken English
Good communication skills and capability of problem-solving and team working
