JOB DESCRIPTION
Sales & MKT Administrator to support all members of Sales & Marketing team when they are in the field. She will handle incoming calls and correspondence; arrange appointments, prepare contract, salekit, quotation, and other things as required for the sales and marketing team; conduct virtual presentations; and, provide presentation or product materials that reps need for meetings and appointments. She will also work & keep track on weekly/monthly/termly reports, tracking Sales performance, potential revenue vs planned revenue and actual revenue in accordance with finance/accounting department.
She will be responsible for assisting the marketing operations of an organization, including weekly/monthly/termly reports, tracking MKT & Admissions performance, potential revenue vs planned revenue and actual revenue in accordance with fiannce/accounting department. She will also coordiate with suppliers to handle contracts, payment request, etc. in MKT campaign.
The Sales & MKT Administrator has prior experience in sales & MKT administration, preferably in an education company, and will be responsible for providing administrative and project-related support to the group.
- Reporting to: Sales Managers, Head of Sales/Business Growth Director and Executive Assistant to BGD, Head of Makreting
- Liasing with: Sales Specialist, Sales Executive and Marketing Department
- Staff: Sale Executives, Sales Administrative
KEY RESPONSIBILITIES
- Support outside sales team with virtual demonstrations proposals, quotes, bids, vendor applications, purchase orders, invoices, sales collateral and resources, trade shows and conferences, customer meetings, sales campaigns, CRM, and customer service calls.
- Periodically take on ad hoc projects at the direction of the Head of Sales, Head of Marketing and Business Growth Director, gathering needed information with precision and insight.
- Take responsibility for detailed reports each week, each month, each term to present sales performance: account tracking, potential revenue
- Take responsibility for detailed reports each week, each month, each term to present MKT performance: MKT & Admissions report, potential revenue, progress of campaigns using various metrics and submit reports of performance
- Evaluate data and create reports on key metrics in order to monitor campaign efficiency and analyse trends (both online & offline)
- Conduct virtual presentations and provide presentation or product materials that sales reps need for meetings and appointments
- Take responsibility in taking notes of meeting minutes of all internal Sales & MKT meetings, with detailed PIC, timeline and next steps for all teams to follow
- Work with suppliers / partners on contracts, MOU, and follow up to final hard copies
- Coordinate with MKT team, suppliers and accounting departments to work on payment request for each contract.
- Support the execution team with implementing, and monitoring marketing strategy and marketing campaigns
- Collaborate with managers in preparing budgets and monitoring expenses
- Prepare document for working with partners, media vendors and publishers to ensure collaboration in communication and promotional activities
- Supporting Head of marketing and other members of the marketing team in following various projects
- Undertaking daily administrative tasks to ensure the functionality and coordination of the department's activities
- Other tasks assigned by Line Manager
KEY REQUIREMENTS
- 1-3 years previous experience supporting an outside sales team preferred
- Bachelor's degree required (preferably in the area of business, marketing or communications)
- Excellent customer service orientation and exemplary communication skills - both verbally and written; ability to present information in a clear concise manner
- High degree of professionalism and a thorough understanding of confidentiality
- Ability to prioritize and multi-task in order to meet deadlines in a fast-paced environment
- Excellent organizational, problem-solving and follow-through skills are essential
- Strong attention to detail
- Agility in problem solving and an ability to anticipate and address big-picture issues
- Ability to work collaboratively as well as with a great deal of autonomy in a start-up environment; strong work ethic
- Strong computer skills a must including Microsoft Office (Word, Excel and Power Point), Outlook, CRM
- Ability to work flexible hours as needed - Fluent in English is prefered
