RMIT Vietnam is seeking a Senior Legal Operations and Compliance Specialist to be the operational backbone of our Legal & Compliance team. This is an opportunity to shape efficient legal services, strengthen compliance and drive continuous improvement across a leading international university.

POSITION SUMMARY
The Senior Legal Operations and Compliance Specialist serves as the operational backbone of RMIT Vietnam's Legal & Compliance (L&C) Department. This role functions as the legal office manager, responsible for orchestrating the day-to-day operations of the in-house legal team, ensuring seamless delivery of legal services across the university. The role integrates contract management, legal services support, compliance facilitation, and team operations management. It acts as a key enabler for the team by ensuring that processes, systems, and administrative functions are managed efficiently, consistently, and proactively.
Key Accountabilities summary
Contract Management & Compliance
• Serve as a first point of contact for contracting queries from internal stakeholders, providing guidance on processes, templates, and procedures;
• Responsible for in periodic review of the contract templates in place and propose further templates where required;
• Review and approve contracts, standard legal templates, and low-risk and medium-risk agreements within defined authority thresholds; escalate complex or high-value contracts to the relevant Senior Manager with a preliminary assessment.
• Implement and oversee physical stamp and electronic signature processes to ensure the valid execution of RMIT contracts;
• Manage the letter of delegation system including routine and ad-hoc ones, to ensure smooth day-to-day operation for RMIT;
• Responsible for the reporting of required data to MOET and other regulatory bodies under the supervision of Associate Director, Legal and Education Regulatory Compliance.
• Coordinate and manage the monthly, quarterly legal update to L&C Department and key stakeholders;
• Support the university's compliance with relevant legislative provisions by coordinating and assessing departmental compliance self-assessments;
• Manage the legislative and policy change communication process, tracking regulatory updates and disseminating relevant information to affected stakeholders in a timely manner;
• Liaise with relevant government authorities and licensing bodies to support the management of RMIT Vietnam's operating licences and regulatory submissions
Legal Services Workflow Management
• Administer and continuously optimize the Service Connect platform for the Legal & Compliance (L&C) Department, ensuring efficient intake, tracking, and closure of all legal service requests.
• Triage incoming legal queries and requests, assess complexity and risk level, and assign matters to the appropriate L&C members in a timely manner.
• Serve as the first- and second-tier point of contact for legal service requests, independently resolving routine and moderately complex queries with accuracy and professionalism.
• Maintain clear and consistent communication with requesters, providing timely updates, managing expectations, and ensuring a high standard of client service experience.
• Generate and analyze service metrics and reports (e.g., ticket volume, turnaround time, satisfaction levels) to support data-driven decision-making and performance tracking.
Legal Operations & Team Management
• Manage the overall day-to-day operational functions of the L&C Department, acting as the central coordinator across the team;
• Maintain the L&C departmental calendar, tracking key deadlines, external counsel contract renewals, reporting cycles, licensing milestones, and compliance review schedules to ensure the Director and Senior Managers are appropriately briefed and prepared;
• Support the Legal Director in preparing reports, presentations, and briefing materials for executive leadership and governance bodies;
• Coordinate and facilitate L&C team meetings, prepare agendas, record minutes, and follow up on action items to ensure accountability and momentum;
• Assist in managing the department's budget, including tracking expenditure, processing payment claims, and liaising with the Finance team to ensure fiscal compliance;
• Maintain and oversee the L&C supplier list, ensuring vendor relationships and contracts are appropriately documented and renewed;
• Manage document archiving and records management systems, ensuring all legal files, contracts, and correspondence are stored securely and retrievably in accordance with university policy
Process Development & Continuous Improvement
• Design, document, and maintain Standard Operating Procedures (SOPs) for all key legal operations functions;
• Periodically audit existing processes within the L&C team, identify inefficiencies, and lead improvement initiatives in consultation with the Legal Director and Associate Directors;
• Develop and maintain a Legal Services Handbook or equivalent internal reference guide covering team procedures, templates, escalation protocols, and service standards;
• Identify and implement training and awareness initiatives for non-legal stakeholders across RMIT on legal processes, contract compliance, and self-service resources;
• Drive the onboarding process for new L&C team members, including maintaining onboarding materials, orientation schedules, and system access coordination;
• Other duties commensurate with the scope of the role

Key Selection Criteria
• Bachelor's degree in Law. A postgraduate qualification in law, business administration, or legal practice management is an advantage;
• At least 5 years' experience working in a similar role or a related job role.
• Excellent communication skills, both written and verbal, with the ability to translate legal concepts for non-legal audiences and prepare clear, concise reports for senior stakeholders;
• Experience from working within the international corporate sector;
• Strong customer service orientation with a professional and proactive approach to stakeholder engagement;
• High level of accuracy, attention to detail, and confidentiality in handling legal documents and sensitive information;
• Demonstrates ability to analyse, interpret, evaluate and present information;
• Well-develop interpersonal skills, including negotiation, liaison and cross-cultural communication;
• Proven track record of legal technology platforms, document management systems, e-signature systems, workflow tools, or automation initiatives;
• Demonstrated initiative, continuous improvement mindset, work independently and ability to drive operational enhancements;
• Strong organisational and project management skills, with the ability to manage multiple priorities, competing deadlines, and cross-functional initiatives simultaneously;
