Location: CVS Office - 2nd Floor, IMV Building, No. 87 Hoang Van Thai, Tan My Ward, Ho Chi Minh City
What You Will Do
1. Administrative & Office Management
Manage day-to-day administrative operations, including office supplies, equipment, assets, meeting rooms, attendance tracking, and administrative expenses.
Handle procurement, vendor management, and the maintenance of administrative records, contracts, and legal documents.
Manage and execute the official stamping and sealing of documents, correspondence, and contracts in accordance with established procedures while ensuring confidentiality.
2. HR & Internal Communications Support
Coordinate onboarding and offboarding activities, including workspace preparation, equipment setup, and asset handover.
Support internal communications, company events, employee engagement activities, and the management of internal clubs.
3. Securities Operations Support
Handle operational activities for open-ended fund certificates, including account opening, investor information management, order processing, and investor settlement.
Support securities transactions in accordance with internal procedures and applicable regulations.
Monitor and resolve operational issues and propose improvements to enhance operational efficiency.
4. Reporting, Disclosure & Compliance
Prepare periodic and ad-hoc reports for the Management Board and relevant regulatory authorities.
Manage information disclosure on the company website and other designated systems in accordance with regulatory requirements.
Ensure compliance with applicable laws, regulations, and internal policies and procedures.
5. Project Support & Other Responsibilities
Participate in system testing and support product and system development projects.
Consolidate reports and perform other duties as assigned by the direct manager.
What You Will Need
1. Education & Experience
Bachelor's/College degree in Economics, Finance, Banking, Business Administration, Human Resources Management, Office Administration, Accounting, or a related field.
1-3 years of experience in Office Administration, HR Administration, Operations, or a similar role is an advantage. Fresh graduates or candidates without prior experience are welcome and will be provided with training.
Basic knowledge of the securities market and related operations is preferred.
2. Professional Skills
Proficient in Microsoft Office and able to analyze, consolidate data, and prepare reports.
Knowledge of administrative, operational, and compliance processes is an advantage.
3. Personal Skills
Strong organizational, planning, and time management skills.
Good communication and collaboration skills, with the ability to work effectively across multiple departments.
Strong problem-solving skills, logical thinking, and attention to detail.
Proactive, responsible, detail-oriented, and eager to learn.
Adaptable and comfortable working in a dynamic, flexible, and multitasking environment.
