The position is responsible for performing administrative tasks as regularly assigned and authorized by the higher superior to provide effective administrative services that best serve business daily operation and employee experience.
Duties and Responsibilities
- Handle Work Permit job, including but not limited to preparing documents for new, renewal work permit, Visa, resident card, ...; to record legal document license for Expat.
- Keep important company legal documents and prepare documents for amendment or change if any. Keep all vendors' contracts and contracts with customers.
- Issue in-house announcements, internal memos, notices, and memorandums to ensure clear communication to employees. Prepare and control all company admin formats.
- Handle the issuance, change, and cancellation of the company seal.
- Manage and monitor the company's facilities, equipment, fixtures, security, ancillary items, etc. in use. Control of fixed assets of the Company, equipment maintenance, and problems arising when there are failures.
- Handle procurement of fixtures, ancillary items, office consumables and retail goods. Handle procurement, custody, and delivery of in-house ledger, slips
- In charge of vehicle dispatchers, manage and issue gasoline & diesel tickets for company vehicles to ensure company vehicles are properly used and comply with law and company rules; manage meeting rooms in accordance with the company's regulations.
- Arrange and manage flight bookings, hotel accommodations, transportation, and other travel-related services for employees/business trips in compliance with company policies and budget.
- In charge of receiving, sending, and handing incoming and outgoing documents, couriers
- Ensure compliance with Fire Fighting & Prevention (PCCC) and Occupational Health & Safety regulations; coordinate periodic fire drills and safety inspections.
- Process and manage payments for office utilities (electricity, water, internet, rental fees, etc.) to ensure cost-effectiveness.
- Organize and coordinate with other departments for company events such as Year-end Parties, Company Outings, and other internal activities to promote company culture.
- Supervise cleaning services and landscape maintenance to ensure a clean and "green" working environment.
- Others as assigned by superiors.

► Education and Experience
- Bachelor's degree in administrative management or equivalent.
- 2+ year's related experience.
- Detailed oriented and service mind-set.
-Experience in supporting cross-functional teams, interacting effectively with all levels of the company.

► Working Conditions and Benefits:
- Working Place: TTC Building, No. 19, Duy Tan Street, Cau Giay Dist, Hanoi City
- Working time: Monday to Friday, from 8:00 AM to 5:35 PM
- Annual Leave: 12 days/year (after probation time)
- Net salary: Negotiable (13 months a year plus Tet bonus & Annual performance bonus)
- Annual Salary Increase: once per year
- Performance Assessment: twice per year (fixed in April and October)
- Insurance: 24 hours' Accident Insurance, 100% Social Insurance, Health Care Insurance
- WFH Policy: work from home up to 2 days per week after 6 months of employment
