Position Purpose: Administrative officers perform a variety of tasks to support the day-to-day operations of an organization.
Principle Accountabilities/Essential Functions:
Operates various office machines including photocopiers, scanners, telephone, and related equipment.
Transfers information from documents such as time reports, applications, invoices, and other requisitions to control records or statements.
To act as Interpreter to support overseas experts to communicate with operators when needed.
Follow up on custom clearance procedure for samples, parcels imported from oversea. And receive all incoming parcels & documents by mail/courier and faxes etc. and re-distribute them to relevant responsible colleagues.
Maintain the weekly work plan for cleaning assistants up to date, monitor outsourced cleaning assistant service quality and effectiveness to make sure the office is spotless clean and tidy
Regularly check the stock of stationery and pantry consumables, inform
Purchasing staff to purchase/refill the stock as required.
Order office/pantry tools, equipment and/or furniture for
Purchasing staff to purchase when required.
Assist other HR and/or administration projects assigned by the superior.
Do other preparation work to support managers to prepare for customers training, workshop purposes.
Make travel arrangements for the office staff which include visa application, tickets and hotel arrangements when needed.
Manage office work schedules, calendars, and appointments.
May act as a receptionist.
University graduated.
+ 5 years of experience working as Administrator in manufacturing companies
Proficient in the use of computers, including accounting software, database software, document management software, and Microsoft Office
Strong communication skills; ability to interact productively with supervisors, peers, and subordinates
Superb organizational skills
Excellent time management
Language Skills:
Language: Fluent Vietnamese & Chinese. English is optional (better to have).
Clear and concise written, verbal and interpersonal communication skills that produce desired results.
Excellent oral, written, interpersonal and communication skills.
Capable of reading and interpreting information with the ability to share with others as needed.
Ability to use personal computer and standard business and other work-related software with minimum instruction.
