Mô tả công việc
Overall responsibilities:
Work closely under supervision of Program Manager, Vietnam to provide expert supports in General Administration & Accounting. He/she will work closely with other staffs of Kenan Vietnam and report to Program Manager to support operation functions of the office and program go smoothly and efficiently.
Key tasks and responsibilities:
1. Handle administrative tasks
• Be responsible for incoming and outgoing telephone calls and emails.
• Responsible for the overall running of the reception operation.
• Make logistic arrangement including flights reservations, hotel and vehicle arrangement for project staffs, visitors/partners, donors, consultants, volunteers and interns.
• Conduct procurement as required and maintain office assess, furniture, tools and stationaries; regularly inventory to ensure the uses of the office assess are in good manner.
• Prepare correspondence, memos, reports, presentations, and emails to local counterparts, donors or other related offices or agencies in Vietnam and Bangkok Office.
• Update the filling system and manage filing the office documents for both hard and electronic copies.

• Conduct secretarial supports to Program Manager on office document preparation, typing, meeting arrangements and data filing...
2. Handle finance and accounting tasks
• Prepare, record, examine, and analyze accounting records, transactions, support documents of internal and external payments, receipts & invoices.
• Office fixed assets administration, labeling, recording, auditing and reporting.
• Check day-to-day expenditure to make sure all the payments are made and recorded properly and accordingly.
• Collect information for donor reports, proposal writing and auditing.
• Effective filing system of all F&A documentation for tracking and audit purposes.
• Coordinate between Vietnam Office and Bangkok Office on financial and accounting system and work process as needed.
• Perform bank transactions when required.
• Manage advance payments and reimbursements given to/received by the staff.
3. Project Supports
• Arrange project logistics as required.
• Support on project research when needed.
• Assist in organizing project training, seminars, workshops, etc.
4. Implement the enhancing and developing Kenan's excellent external profile
• Assist with marketing & public relation activities for Kenan and projects.
• Perform the media activities and networking.
5. Perform other duties if required.
Division: Vietnam Office
Reports to: Country Program Manager, Vietnam
Contract Duration: 24 Months and to be extended
Yêu cầu
• Minimum Bachelor Degree of Business Administration or Finance, Accounting or related fields.
• At least 3-5 years of direct work experience in accounting and administration, preferred on project-based working environment and in the NGO circle.
• Ability to work with a minimum supervision, exercise judgment, meet deadlines and work under pressure.
• Very good command of English.
