Mô tả công việc
1. Executive support to CHRO and other Directors of HR
• Follows up on incoming issues and concerns addressed to the CHRO, including sensitive or confidential nature.
• Works closely with the Executive Assistant of the Vietnam Leadership Team (VNLT)/ Executive Assistant of Sun Life Leaders in Regional Office and in other countries and coordinate with internal departments on logistics and meetings/events preparation, to schedule meetings and events
• Supervise the implementation of a wide variety of administrative tasks for the CHRO, including maintaining an extremely active calendar and the logistics of HR external speaking events and travel in coordination with others in the organization, including any pre-event planning and coordination.
• Ensures HR contacts info is kept updated and responds to requests for materials regarding the CHRO in general. In collaboration with other HR departments, follow up on contacts made by the CHRO and other HR directors and support the cultivation of ongoing relationships.
• Support CHRO and other Directors of HR in scheduling handle confidential meetings.
2. CHRO's Direct Reports (CHRO's DRs) Liaison
• Provides executive supports to CHRO in monitoring and handling workflow across CHRO's DRs, e.g., in HR management calls or CHRO's DRs meeting e.g., reminder on meeting materials, OKRs/Goals update on collaboration tools,...
• Manages the entertainment payments of CHRO + CHRO's DRs, includes tracking HR function's gift & hospitalities records.
• Maintains discretion and confidentiality in relationships with all VNLT, and Dept Heads.
• Plans and organizes the meetings in HR function include HR Monthly meetings, HR off sites, e.g., all logistic arrangements, coordinate with CHRO and CHRO's DRs on meeting agenda, materials.
• Provides logistic arrangement supports to all HR training activities, e.g., book venue, arrange travel for participants, refreshments, and all company-wide activities/events e.g., New Year Party, company outing,......
3. Provide supporting in welcoming HR's external guests, vendors to the office include guest registration required by the building management or the company.
4. Support the Vietnamese translations when assigned.
5. Other duties as assigned by the CHRO.

• Applicable rules and regulations set by the Enterprises and SLV related to governance, financial approval, etc.
• Enterprises brand and communications guideline.

• Gift and Hospitality Operating Guidelines
2. Required Competencies:
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail.
• Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, SLF Executive Team, VNLT, and external partners.
• Demonstrated communication skills including excellent oral and written English language skills and ability to communicate ideas effectively.
• Preferred - ability to prepare presentation with artistic view - select appropriate icons, photo to convey ideas.
• Emotional maturity
• Highly resourceful team player, with the ability to also be extremely effective independently
• Must be able to work under pressure and frequent change at times to handle a wide variety of activities and confidential matters with discretion.
• Demonstrated ability to use digital tools and collaboration apps
• Forward-looking thinker, who actively seeks opportunities and proposes solutions
Problem solving
1. Problems are quite standardized. However, details may be changed or added at last minutes requires quick actions.
2. Managing the frequent changed and conflicting schedules to ensure smooth operations while maintain professional look for the Officer and Directors.
3. Works are pre-scheduled, but can be urgent with short notice.
4. Flexible, creative approach to work and a willingness to challenge the status quo.
5. Influence without authority skills are required - strong facilitation, negotiation and issue resolving skills.
Education and experience
• Bachelor's degree or equivalent experience
• At least five years of high level/executive administrative support or other relevant experience.
