PURPOSE AND SCOPE OF ROLE
Contracting Executive is responsible for supporting Contracting Manager (CM), negotiating new and/or existing contracts, rates, promotions, discounts, or other points with Hotels or other suppliers as instructed. Contracting Executive may also be tasked to provide reports on suppliers such as (but not limited to) production reports, allotment usage, or others.
RESPONSIBILITIES & TASKS
Contracting and supplier
• Negotiate and administer contracts with Hotels or suppliers when requested relations
• Co-ordinate with all suppliers to make sure head office receives rates in a timely and accurate format.
• Negotiate with suppliers to get discounted services for the company's Agents and Staff where CM required.
• Negotiate with Hotel/Cruise suppliers to get discounted/FOC rate for FAM where CM required.
• Negotiate with suppliers for Allotment Agreements for wholesale partners.
• Support Sales and Operations Departments in handling complaints when it comes to hotel/supplier complaints
• Assist with other duties in contracting such as lands services or other contracts/loading
administration if required
• Check all contracts to ensure the accurate & adequate information is included before sending to CM for signing.
• Cross check Tariff which were updated by Product Admin Team.
• Recheck rate which were updated by Data Team.
• Follow up with hotels/offices to achieve necessary information and rates
• Send signed contract to suppliers as well as filing the signed contract and saving a scanned copy on database
• Develop and update the suppliers' database/ contact information for the company.
• Be responsible for maintaining supplier resources on the head office product server or any other filestorage platform in addition to collecting updates and changes from suppliers as necessary.
• Inform all necessary departments if there is any change in service costs, hotel renovations, and so on.
Resources and Training
• Meet visiting suppliers & agents as required to discuss contract issues
• Perform any other duty relevant to this department in addition to supporting the Product &
Contracting Department and/or any other department as deemed necessary to fulfil the business
requirements of the company.

Yêu cầu
QUALIFICATIONS AND KNOWLEDGE
• Baccalaureate degree or equivalent work/life experience
• In-depth hotel and destination knowledge of Southeast Asia
• In-depth knowledge of the tourism industry in Southeast Asia
• Strong knowledge of the markets of TOI
EXPERIENCE• 2-4 years' experience in an inbound travel company in SE Asia
• Experience in working with different cultures
SKILLS• Excellent written and spoken English
• Thorough understanding of MS Office (Excel, Word, PowerPoint etc.)
• Experience in effectively working at all levels within an organization, including delivering presentations (PowerPoint, Webex, etc.), co-coordinating training sessions, presenting at trade shows, etc.
SPECIAL REQUIREMENTS (if any)
• Flexibility to work overtime and travel as required
• Ability to work under pressure
• Must maintain up to date passport
