About the Role
We are seeking a proactive and detail-oriented Event Management Executive (Special Projects) to support the planning, coordination, and execution of workshops and field activities across the Mekong Delta region. This role is ideal for someone who thrives in dynamic environments, enjoys working with multiple stakeholders, and is comfortable traveling to rural project sites.
Key Responsibilities
1. Event Planning & Execution
Plan, coordinate, and execute workshops, training sessions, and special project events
Manage event timelines, logistics, and on-site coordination
Ensure smooth execution of events in both urban and rural settings
2. Vendor & Stakeholder Management
Source, liaise, and manage vendors (venue, catering, logistics, printing, etc.)
Negotiate pricing and ensure quality delivery of services
Coordinate with local partners, institutions, and community groups
3. On-site Operations
Travel to project locations (Mekong Delta provinces) approximately once per month
Oversee event setup, participant management, and troubleshooting during events
4. Post-Event Reporting
Prepare detailed post-event reports including attendance, feedback, outcomes, and insights
Track event KPIs and suggest improvements for future activities
5. Administrative & Project Support
Handle documentation, procurement, and internal coordination
Maintain records of events, budgets, and vendor contracts
Support broader special project activities as assigned
