Job description:
Receptionist Responsibilities
- Guest Relations: Greet and welcome guests in a professional and courteous manner; answer phone calls promptly and efficiently.
- Reception Area Management: Ensure the reception area and lobby are clean, organized, and presentable at all times; check regularly for readiness.
- Visitor Flow Coordination: Manage visitor registration for both pre-booked and walk-in guests; maintain accurate records of arrivals and walk-in data.
- Guest Guidance: Assist visitors - especially those without agents - by providing basic product and service information, offering a brief tour, and smoothly handing over to the Sales team.
- Correspondence Handling: Manage incoming and outgoing mail and other correspondence.
Administrative Responsibilities
- Operational Oversight: Monitor and coordinate daily activities of the security team, cleaning staff, and tea ladies to ensure smooth operations and a clean, secure environment in the Experience Gallery.
- Procurement Support: Assist with
purchasing items and services required for the Experience Gallery.
- Supplier Coordination: Liaise with vendors for essential supplies such as drinking water, refreshments, hygiene products, stationery, courier services, and utilities.
- Facility Management: Oversee the proper functioning of gallery facilities including printers, water filters, and coffee machines.
- Inventory Control: Ensure adequate stock of sundry items at all times..
- Additional Duties: Perform other tasks as assigned by management to support gallery operations.
• Bachelor's degree in English, Business Administration, or related field.
• At least 1-2 years of experience in a similar function in a foreign environment.
• Good communication skill (both English and Vietnamese).
• Strong organizational skills with a problem-solving attitude, sincere, customer service skills, multi-tasking skills, detail-oriented and careful, teamwork and willing to help others.
