Job Overview:
The Admin Intern supports daily administrative operations, focusing on payment processing, vendor coordination, and office administration. This role provides hands-on experience in preparing payment documentation, tracking expenses, and maintaining accurate records, while ensuring compliance with internal procedures. The intern will work under the guidance of the
Admin Manager and contribute to the smooth operation of the office.
Your Tasks will be:
1. Payment Processing Support
Collect invoices, bills, and supporting documents from the Admin email and internal departments
Check the completeness of payment documents based on available checklists
Prepare and maintain a list of recurring and ad-hoc payments
Assist in preparing payment requests in the system (PO/PA or internal forms) following guidance
Track payment status (submitted - in process - completed)
Support monthly tracking and clearing of admin advance expenses.
2. Vendor Payables Tracking & Reconciliation
Monitor monthly payables with vendors (delivery services, cleaning, drinking water, office supplies, air tickets, and other admin services)
Check and match invoices, statements, and tracking files for accuracy
Identify missing documents or discrepancies and report to the Admin Manager
Follow up with relevant stakeholders on closing timelines and payment deadlines
3. Office Administration Support
Monitor office supplies, pantry items, and drinking water; report when replenishment is needed
Support vendor communication using available email templates or guidelines
Maintain proper filing of administrative and payment documents on SharePoint
Provide basic logistics support for internal meetings and guest visits
Support monitoring of office cleanliness based on existing checklists
4. Other Tasks
Support ad-hoc administrative tasks as assigned by the Admin Manager
Your Requirements:
University student majoring in Business Administration, Accounting, Finance, or related fields.
Strong attention to detail and good organizational skills
Basic understanding of administrative processes is an advantage
Good communication and coordination skills
Responsible, careful, proactive and willing to learn
Good at English (both spoken & written)

Internship allowance: 4M/ month + lunch allowance
Work in a dynamic, supportive and international environment with guidance from experienced mentors.
Internship duration: Full-time internship for 3 months (8:30 AM - 5:30 PM, Monday to Friday).
Internship location: Green Building: 160, B2 Street, An Loi Đong Ward, Thu Duc City, HCMC.
