Overview
The Role
The Events Services Support Officer is expected to assist the University Events team in all aspects of major university events to ensure their successful delivery. This position will support the Events Specialists by preparing and managing event logistics as well as merchandise stock controlling. This position is also required to maintain a flexible work schedule in order to coordinate and attend evening and weekend events, maintains an on-call status.
Your Responsibilities
Logistics support in major university events
Support Event Specialists in setting up and tearing down heavy event infrastructure in major university events.
Manage bookings for internal facilities and external venues of major university events, organise and arrange venue-owned equipment, technical devices, items and materials.
Provide on-site logistics support coordinating with suppliers, volunteers and casual labours.
Support in liaising with event vendors and suppliers to get quotations, make contracts and deposits as well as liquidation and payment.
Maintain accurate records for all event documents including facility usage requests, invoices, payments/deposits, floor plans, participant feedback forms etc.
Events service support to Schools/Divisions
Support University Events team in providing event-related services to other event organisers from Schools, Divisions and Departments where appropriate. This includes on-site technical support, catering recommendation, setup and teardown monitoring and logistics arrangement.
University Merchandise support
Check and monitor merchandise, gifts & premiums stock with up-to-date and precise reports.
Liaise with vendors/suppliers in transporting, delivering merchandise to campus warehouses.
Support in distributing co-ordered merchandise, gifts and premiums to university stakeholders where appropriate.
Assist with assigned projects and tasks as required.
Skills And Experience
Bachelor's degree in a relevant discipline
Experience in supporting and organising different event types and scales.
Have experience of event industry terminology, venue and facility capabilities, contractors, project safety, event coordination and event-related services
Clear and effective verbal and written skills (English and Vietnamese) for the purpose of obtaining and conveying information to clients, technicians, management and team members as well as producing reports.
Well-developed interpersonal skills, including negotiation, liaison, and cross-cultural communication.
Demonstrated ability to work independently and as part of a team.
Demonstrated good knowledge and experience with computer software and platforms, including databases, spreadsheets, presentation software, apps and social media, and graphic design tools
