JOB DESCRIPTION
1. Tender Documentation Management & Execution
Monitor, identify, and update potential tender/bidding opportunities (both domestic and international);
Review Bidding Documents (Invitation to Bid - ITB/HSMT), analyze requirements and eligibility criteria;
Prepare and complete Bidding Documents (HSDT), including legal documents, company credentials, quotations, proposals, and technical materials;
Coordinate with internal teams (Business, Project, Finance, etc.) to develop methodologies, pricing, and proposal content;
Ensure quality, formatting, and compliance of all submitted documents in accordance with the requirements of the procuring entity;
Ensure timely preparation and submission of bidding documents.
2. Tender Process & Related Procedures Management
Monitor and manage the entire bidding lifecycle: preparation - submission - clarification - negotiation - award;
Liaise with relevant authorities and stakeholders throughout the bidding process;
Support contract preparation and completion of post-award procedures;
Track progress and update the status of all bidding packages.
3. Legal Documentation & Compliance
Prepare, review, and manage legal documents for submission to government authorities and for tender participation;
Work directly with government agencies on licensing, compliance, and administrative procedures;
Support legal documentation and procedures for new business activities or expansion;
Assist in preparing tender documentation for projects related to the public sector;
Coordinate with internal teams to collect, verify, and consolidate required documents;
Monitor submission timelines, ensuring accuracy and on-time completion;
Maintain and organize legal documents, contracts, and tender records systematically;
Ensure full compliance with applicable laws and internal policies.
4. Internal Coordination & Data Management
Coordinate with internal departments to collect, verify, and consolidate information for tender submissions;
Maintain and update tender databases, reports, and tracking systems;
Support documentation related to contracts, invoices, and payments during project implementation.
5. Office Administration & Operations (Supporting Role)
Coordinate daily administrative tasks, logistics, and office operations to ensure smooth business continuity;
REQUIREMENTS
Education
Bachelor's degree in Business Administration, Law, Public Administration, or related fields
Experience
Minimum 2 years of experiences in tender administration, bidding documentation, legal, or government-related roles
Competencies - Knowledge, Skills & Abilities
Proven experience in bidding/tender processes (government tenders, large-scale projects, or international tenders preferred);
Strong understanding of bidding documentation structure (HSMT, HSDT);
Good knowledge of legal regulations and administrative procedures;
High attention to detail with strong document control skills;
Strong organizational, time management, and deadline tracking skills;
Proficient in Microsoft Office (Word, Excel, PowerPoint);
Good English skills (reading and writing for documentation);

The Marketing Communication Executive in Branding, PR and Event scope will assist in the execution of marketing and communications strategy for our company. The following are the types of work you'll actually perform:
A. Brand Management; Public Relations & Communications and Event Management (80%)
1. Brand Management
Brand Consistency: Ensure all publications, content, and messages across all platforms (Website, Social Media, Offline) strictly adhere to Brand Guidelines.
Content Creation: Responsible for producing creative content (Copywriting) for brand campaigns, service introductions, and Employer Branding initiatives.
Visual Management: Coordinate with the Design team to produce visual assets for projects and innovation programs (Innovation Awards, Reports, etc.).
2. Public Relations & Communications
Media Relations: Support in building and maintaining relationships with journalists and editors in the Tech/Economy/Startup sectors.
Press Materials: Draft press releases, PR articles, guest posts, and interview content for leadership.
Seeding & Community: Manage and interact within innovation communities to increase brand awareness (Social seeding).
Crisis Management: Assist the Manager in monitoring public sentiment and preparing preliminary communication response scenarios.
3. Event Management
Planning: Contribute ideas and develop detailed plans for events (Demo Days, Workshops, Webinars, Hackathons, Report Launch events, etc.).
Execution & Coordination: Partner with the Operations team and external vendors to manage logistics, technical setups, and guest experiences at events.
Event Communication: Take charge of pre-, during-, and post-event communication plans to optimize attendance and engagement.
B. Sales and Project Management (20%)
1. Sales
Generate sales leads through electronic communications such as email campaigns, pay per-click adverts, social media and website optimization for all products, services
Plan, organize and promote product specific events such as conferences, seminars, receptions and exhibitions; and attend where required
Review, optimize and update the corporate website to ensure maximum visibility and accessibility, ensuring visitor retention
Conduct market research and analysis to evaluate trends, brand awareness and competition ventures
Conduct customer research
Keep current with professional sector news
Analyze and monitor competitors and their marketing strategies
Conceive and develop efficient and intuitive marketing strategies
2. Project Management
Work with the team to develop marketing plans and strategies
Liaise with external contacts such as designers, print agencies and editors
Support the Marketing Manager and other colleagues in preparing budgets and monitoring expenses
Support all departments when required
REQUIREMENTS
Bachelor's degree in Marketing, Journalism, Public Relations, or related fields.
1-2+ years of experience at the same position. Working in a field related to Startups or Technology Company is a plus.
Good analytical skills as well as communication skills (oral and written).
Fluent in written and spoken English.
Interpersonal and presentation skills.
Effective team working skill
Proactive, positive attitude, creative thinking, good problem solving skills, willing to learn, adapt and operate with a dynamic and fast moving work environment.
Be able to work under high pressure and meet deadlines.

Prepare and compile contents to introduce, discuss and consult clients about suitable market solutions based on their demands via official documents, emails and presentations.
Implementing partnership programs and activities to achieve business development goals
Conduct extensive research on industry peers; industry developments, business and investment opportunities and regulatory developments in order to optimize consultation process and services' quality.
Search information and contact to partners, suppliers, corporates, startups, etc. as required to develop business
Develop new partnerships by doing research, preparing for meetings, communicating and presenting pitches and proposals to partners.
Find new partners and develop partnerships with suitable projects of business.
Support BOD in the execution of Partnership Strategy to achieve business goals.
Any other responsibilities as may reasonably be required
REQUIREMENTS
To be considered, applicants should have the following minimum qualifications:
Candidates with 1-2+ years of experience in Finance/ Business Development/ Partnership, or related fields.
Working experience in/with startups is a big plus.
Business acumen to understand business risk and challenges, and recognize corporate opportunities.
Ability to work effectively both independently and as part of a team in a robust environment.
Ability to negotiate skillfully, promote/sell ideas persuasively, and close transactions with mutually beneficial results.
Excellent presentation, communication and relationship building skills.
Excellent oral and written communication skills in Vietnamese and English.
