Roles & Responsibilities:
Administration:
Greet & welcome visitors.
Keep a professional appearance of the whole office area.
Manage incoming and outgoing mail and calls, ensuring accurate information is delivered to the appropriate persons in charge.
Representative to work with the office building:
o Manage office in/out delivery process;
o Work with building managers & technicians;
o Register for new comer process (employee card, parking card,...);
o Coordinate with building for regulation and operations.
Work with office suppliers (printers, IT, plants, stationery, pantry supplies...) to provide and maintain the best quality and stocks.
Manage office payment (mobile phone, taxi, office rental, laptop fee, other office expense...).
Assist employee for travel logistics (booking flight, hotel, other guidance...).
Manage all office assets & equipment.
Working visa, residence card, work permit.
Assist BOD as per request.
HR:
Manage Annual Leave forms of all employees; tracking & recording Annual Leaves & Overtime data.
Be in charge of Employee Termination Procedures.
Provide administration and general support in ensuring compliance with Health & Safety Regulations.
Regularly update and maintain HR-related forms, templates, and standard documents in alignment with company guidelines.
Plan & execute annual Health Check-up program & Health Insurance.
Join in organizing annual activities: Company Trip, Team Building, Company Birthday, Workshops, Special Events,...
Support execute engagement activities and internal communications; including conducting survey & providing in-depth feedback. Liaise with Operation Team to develop action plans addressing agreed-upon issues.
Collaborate with Operation Team to plan strategic events/activities to enhance the company's reputation and recruitment brand, such as internship program, honor MKT & communications award...
Candidate Profile:

At least 2 years of experience as administration or general HR executive.
Demonstrates a strong customer-service mindset, prioritizing stakeholder satisfaction and service excellence.
Attention to details - attention to details - attention to details, in both administrative and daily operations.
Strong ability to organize and systematize work effectively.
Take initiative to provide creative solutions to issues.
High work standard and integrity.
Dynamic, proactive, creative thinking.
Be good at MS Office; ability to photo and video-editing software is an asset.
Excellent communication (oral and written) and presentation skills.
Proficient command of English.
