Mô tả công việc
JOB PURPOSE:
- Your main responsibilities will be to perform HR and administrative tasks as well as to develop, maintain and manage various HR documents & processes.
- Your role will open the opportunity to work in a dynamic and professional-friendly environment.
RESPONSIBILITIES:
- Act as the primary point of contact for any HR and administrative matters.
- Manage HR-related paperwork and ensure that the necessary HR database is up to date, accurate, and compliant with the law.
- Responsible for Compensation & Benefit tasks (monthly payroll, PIT, SIHIUI, resignation process, etc.) to ensure C&B accuracy in accordance with labor law and company policy.
- Collaborate with IT Recruiter, Infra, and other relevant departments to facilitate on/off-boarding and training programs.
- Active participation in HR/Admin tasks (e.g., preparing announcements, monthly company newsletter, staff's birthday greeting, work anniversary congratulations, public holidays, and assisting with the organization of workplace events/parties).
1. Compensation & Benefits Administration
- Ensure that all HR-related issues, such as policies, labour contracts, remuneration systems, social insurance, and PIT, are in accordance with Vietnamese labour legislation.
- Examine, recommend, and execute C&B procedures for health care, business retreats, sick leave, and other company events.
- Employee profile management.
- Prepare surveys and do statistics to analyze employee satisfaction on relevant benefits.
- Maintain the medical insurance list up-to-date with accuracy and punctuality.
- Health check arrangement.
- Manage the HRM system and prepare all required reports.
2. Employee engagement
- Ensure planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management general meetings with employees; hearing and resolving employee grievances; counselling employees and supervisors.
- Maintain employee benefits programs and informs employees of benefits by studying and assessing benefit needs and trends; recommending benefit programs to management; directing the processing of benefit claims; designing and conducting educational programs on benefit programs.
- Develop employees engagement program to engage and retain talent.
- Propose ideas and organize internal staff activities/events such as sports activities, monthly birthday parties, fruits days & internal company events, year-end party, Teambuilding, Charity activities, etc. in order to promote a good working environment and solid teamwork.
- Promote the company's reputation as a great place to work.
- In charge of organizing internal company events.
3. Admin tasks
- Procurement: work with Finance to maintain adequate supply of office supplies, equipment, and refreshments and facilitate requisitions and deliveries.
- Premises: liaise with the building management for office maintenance and facility management; including maintenance of office appliances.
- Housekeeping: facilitate office cleaning and maintenance services. Ensure First-Aid-Kit is available to employees.
- Emergency procedures: coordinate with BCP team on Business Continuity Plan to effectively respond to any of the identified or unidentified threats to company business such as disease (Covid-19), fire, power failure, etc.
- Providing general administrative support to the office as needed:
+ Handling welcoming guests, arranging couriers, answering and forwarding phone calls, and sorting and distributing posts.
+ Responsible for office decoration & remodelling, stationery purchasing, annual book purchasing, online training course registration, etc.
+ Liaising with third parties regarding renewing healthcare insurance contract, annual health check-up program, new uniform production, and matters arising.
+ Assisting employees and visitors in Visa application, air ticket, hotel & travel arrangement, insurance card registration, and healthcare insurance claiming.

- Minimum 3 years of administration experience in HR function (covering all areas of HR including recruitment, orientation, HRIS, benefits administration, etc.).
- Knowledge of employment legislation in Vietnam is essential.
