Industrial Project Coordinator - HCMC

1/ Job Purpose:
• Act as key contact for allocated customers
• Develop and maintain relationships with key clients
• Handle ad-hoc tasks assigned by the Industrial Project (IP) Operations Manager or Head of IP
• Providing operation excellence to strengthen the existing operations and position the business unit for future growth
• Implement new and additional business to meet internal and customer expectations
• Support and coordinate with team members for project developments
2/ Main Accountability:
• Follow up and manage shipments from end-to-end since shipments were awarded
• Collaborate closely with other departments for smooth handling of shipments and continuous updates
• Accept all orders/ shipments (from customers or overseas offices) and process them properly to ensure operation excellence
• Debit notes & document consolidation & billing reports
• Handle reports as per projects and client's requirements
• Prepare Standard Operating Procedure (SOP)
• Manage suppliers through metrics/performance review
• Pass on sale lead to Commercial team
• Participate in joint Sales visits (if necessary)
• Develop relationships with allocated customers
• Take and handle any customer complaints
• Act as the first contact point for customer claims; support the customer in notification and reception of claims, provides DHL Global Forwarding's claims documents, collect required documents from claimants and hand them over to specialized claims handlers when documents are completed
• Take and process customer feedback and ask for feedback (e.g. follow-up on complaint handling)
• Escalate issues (if required)
3/ Process:
• Ensure project shipment processing is executed in line with quality & safety procedures
• Ensure all financial and administrative activities comply with DHL Global Forwarding's standards, at all times
• Work in accordance with all SOPs relating to the project
