Logistics Supervisor

PURPOSE / OBJECTIVE (OF THIS POSITION):
To lead, manage and oversee entire operations of Warehouse (WH), Import & Export & Purchasing to ensure efficient and quality services rendered to Elken Distributors & customers
Maintain optimum operation costs
JOB RESPONSIBILITIES :
Part 1 - Primary roles of the job which are measurable and may be used as part of KPIs
Warehouse:
Effectively supervise & coordinate daily activities of Warehouse nation wide in order to meet departmental objectives.
Maintain stock accuracy and correct level of inventory. Ensure all stock count variance report is disseminated to relevant parties within agreed timeframe. All stock count variances must be reported and investigated immediately.
Effectively manage, checking & resolving outstanding payments blonde.
Monitor the operations of the retails section to achieve sales objective for every activities.
Ensure accurate maintenance of sale order records are maintained and updated.
Assist with preparation of paperwork for goods delivery.
Coordinate and schedule delivery goods to distributors.
Ensure regulatory requirements towards goods are met before delivery.
Ensure accurate maintenance of sale order records are maintained and updated. Accurate system entry. Accurate physical stock vs system.
Ensures product quality control and shelf life management by adhering to Elken policy and government regulatory standards.
Logistic:
Work with country sales/marketing team and Global Planning team on inventory planning to buy the right product, right quantity at the right time
Make orders, negotiate and promote order/purchase procedures with domestic and foreign suppliers.
Follow up the progress of the purchase contract until the goods are cleared.
Analyse and estimate import costs (transportation fees, import taxes...)
Plan import - export goods to ensure goods import - export on schedule, quality & quantity.
Perform the necessary work on international transportation to bring goods to the warehouse.
Work and coordinate with Customs Declaring Agents to complete customs declaration and import clearance procedures, as well as handle arising problems.
Contact the shipping unit to carry out procedures to take imported goods to the warehouse & solve arising problems
Comply with the import and export procedures prescribed by the Company.
Part 2 - Secondary roles which supports the primary roles above
Handle the customer enquiries, collect customer feedback as well as to provide relevant information to customer in order to meet customer satisfaction at all times
Supervise and provide guidance/training to new team member
Manage and monitor Stockist sales submission flow & timely update Stockist Sales Details and effectively resolve stock discrepancies in the Stockist Invoice
Handle all sales/ stocks transactions including handling of Walk-in sales, Stockist Sales report , Staff Purchase, Staff Claim, Product Exchange
Effectively maintain and keep proper filing system of all documents
Contribute ideas to build & improve work quality.
Work closely with superior through effective teamwork
Be pro-active in supporting other Departments, Company activities.
