PURPOSE AND SCOPE OF ROLE
The Marketing Executive role provides operational coordination and execution support for sales,
business development and marketing activities, including tradeshows, sales calls, webinars, email campaigns, management of CRM system, partner communications, and FAM Trips. The position ensures timely coordination, accurate data handling, effective logistics, and proper reporting to support internal teams and marketing initiatives under approved plans and budget.
RESPONSIBILITIES TASKS
Tradeshows, Sales Calls (virtual and in-person) and Networking events
• Coordinate and complete tradeshow registrations in a timely manner.
• Coordinate tradeshow logistics, including booth preparation, badges, and required materials.
• Appointment scheduling: prepare and manage databases; send appointment invitations; coordinate and confirm meeting schedules with agents, Sales Representatives, and organizers; optimize available meeting slots based on logistics.
• Travel & accommodation arrangement: arranging flights, other transportation and hotel bookings for Sales Representatives in line with proposed schedules and approved company budgets; source alternative options when costs exceed budget and submit them for approval when required.
• Expense review & billing check: review and validate sales call and tradeshow-related expenses; verify invoices and supporting documents; ensure compliance with budget guidelines before submission for approval and accounting payment.
Tourplan CRM Management
• Take responsibility of maintaining and updating assigned CRM records on Tourplan on a daily basis
• Ensure accuracy, completeness, and consistency of all CRM data, including contact details and account information
• Be responsible for updating CRM with all new contacts collected from physical sales calls, trade shows, and events
• Update Tourplan CRM notes based on the Business development team and Sales Representatives online reports, ensuring all relevant meeting, follow-ups, and updates are properly recorded
• Generate and extract specific data lists from CRM for internal use as required
Management of MailChimp and all marketing EDMs and campaigns
• Schedule and manage e-blasts for FAM trips, promotions, webinars, tradeshows, sales calls, newsletters, destination updates, and other marketing initiatives.
• Ensure all mailing lists are regularly reviewed, cleaned, and updated biweekly.
• Collaborate with the Database Management team to coordinate and update agent
contacts on MailChimp and on TourPlan as needed.
• Manage Outlook mail merge campaigns.
FAM Trip Coordinator
• Manage confirmed FAM bookings in accordance with company guidelines to ensure a smooth experience and guest satisfaction.
Webinar Support
• Create and manage iCalendar invitations.
Others Responsibilities
• Provide support for marketing activities and reports as required.
• In charge of checking and approving all invoices relating to Business development and marketing activities of the company.
