We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will play a crucial role in ensuring the smooth functioning of our office and supporting the day-today operations. The ideal candidate should be proactive, resourceful, and possess excellent communication and organizational skills.
* Responsibilities:
General Office Management:
• Maintain a clean and organized office environment.
• IT follow-up: IT support/software installation, quotation, PC, Server backup
• Manage office supplies inventory: coffee, milk, water, stationery, transportation, courier... and place orders as needed.
• Handle incoming and outgoing mail, packages, and deliveries.
• Coordinate with vendors and service providers for office maintenance and repairs.
• Oversee office equipment and ensure proper functionality.
Administrative Support:
• Answer and direct incoming calls, take messages and respond to inquiries.
• Greet and assist visitors, clients, and employees in a professional and friendly manner.
• Manage and distribute incoming and outgoing correspondence, including emails and letters.
• Schedule and coordinate meetings, appointments, and travel arrangements.
• Prepare meeting agendas, minutes, and other necessary documentation.
Records Management:
• Assist in the onboarding process for new employees, including paperwork and orientation.
• Maintain and organize filing systems, both physical and electronic.
• Ensure compliance with data protection and confidentiality policies.
• Event and Meeting Coordination:
• Reserve meeting rooms, arrange for catering, and prepare necessary materials.
• Prepare and distribute meeting agendas, materials, and follow-up documentation.
• Assist in the coordination of company- events, and celebrations.
Financial Administration:
• Assist with basic bookkeeping tasks, such as expense tracking and invoicing.
• Collaborate with the Project manager & Finance agency to process and track office-related expenses.
• Maintain accurate records of office expenditures and reimbursements.
• Assist in budgeting and forecasting office supplies and administrative expenses.
Other duties as assigned.
Yêu cầu
• Bachelor's degree.
• Proven experience as an office administrator, office assistant, or similar role.
• Proficient in using office software, including word processing, spreadsheets, and presentation tools.
• Excellent English communication skills, both written and verbal.
• Strong organizational and time management abilities.
• Attention to detail and ability to multitask effectively.
• Strong interpersonal skills and proactive
• Discretion and professionalism when handling confidential information.
