We are looking for a passionate and efficient individual to join our growing team as a
Purchasing Executive (Import & Export)! You'll wear many hats, providing crucial support with administrative, purchasing and distilling assistant tasks and acting as the vital communication link between the Distillery and the rest of the company.
The ideal candidate is a quick learner who has strong communication skills, possesses a genuine interest in the world of distilling and a desire to learn and grow in the industry. Flexibility to work in a fast-paced, dynamic environment and strong attention to detail will bring success in this role.
Scope of work
a) Inventory and Purchasing (30%)
● General entry into production management system of materials received and shipped.
● Order distillery production supplies as directed
● Track invoices and payables.
b) Handle export and import paperwork (30%)
● Manages international shipping process, ensuring timely delivery and compliance with customs regulations. Key responsibilities include preparing shipping documentation (invoices, packing lists, BLs), coordinating with freight forwarders/CHAs, and overseeing logistics to optimize costs..
● Cost Management: Evaluate logistics service providers to optimize shipping costs and verify freight invoices.
● Record Keeping : Maintain accurate digital and physical records of all import transactions for audits.
c) Effectively communicate to the distillery team the operational requirements determined by the Master Distiller (15%)
● Learn the theory behind the mashing of grains, the process and familiarity with proper temperatures, ingredients times and proper sequences
● Theory of fermentation and how to monitor and control fermentation, yeast, chiller, distillation, and by-products.
● Understand the operation of all equipment used in milling, mashing, yeasting, fermentation, distillation and by-products.
● Perform analytical tests to ensure product quality
● Distillery sanitation procedures
d) Administrative duties (15%)
● Manage the Master Distiller's schedules, calendars, and appointments
● Assist Master Distiller in budgeting and assembling and preparing financial and regulatory reports
● Responsible for managing office services by ensuring office operations and procedures are organized.
e) Other tasks assigned by supervisors (10%)
