Regulatory Affairs Executive

1. Product Registration & Notification
1.1. Cosmetic & Personal Care Notification
• Prepare and submit product notification dossiers to the Vietnam Ministry of Health (MOH).
• Coordinate Product Information File (PIF) documentation.
• Monitor expiration of registrations and renew on time.
1.2. Household Product Compliance
• Verify product classification (cosmetic vs detergent vs household chemical).
• Ensure compliance with relevant decrees (e.g., chemical management, labeling decree).
• Maintain Safety Data Sheet (SDS/MSDS).
2. Labeling Compliance (Critical Area)
2.1. Mandatory Label Review
Review and approve:
• Product name (Vietnamese & English)
• Ingredient list (INCI / chemical name compliance)
• Net content declaration
• Importer/distributor name and address
• Batch number / expiry date format
• Warning statements
• Usage instructions
2.2. Claim & Wording Validation
• Ensure no misleading claims (e.g., "concentrated," "natural," "organic," "antibacterial," "dermatologically tested").
• Validate perfume-origin or ingredient-origin claims.
• Ensure compliance with consumer protection law.
• Ensure consistency between:
o Packaging
o E-commerce description
o Social media content
o POS materials
2.3. Label Change Management
• Review and approve all packaging artwork before printing.
• Maintain version control.
• Keep archive of all approved label versions for both domestic and export.
3. Advertising & Marketing Compliance (Co-working with MKT)
3.1. Advertising Content Review
Pre-approve:
• TVC scripts / Social media content / Livestream scripts / KOL claims / Press releases / Website content
3.2. Advertising Registration
• Submit advertising materials for approval if required by law.
• Liaise with local authorities for campaign clearance.
4. E-commerce & Public Data Compliance (Co-working with MKT)
4.1. Platform Content Audit
Review product pages on:
• Shopee
• Lazada
• Tiki
• TikTok Shop
Ensure:
• Claims align with approved packaging.
• Ingredient list consistent with PIF.
• No unapproved medical wording.
• No "fake vs genuine" misrepresentation.
4.2. Consumer Complaint Monitoring
• Coordinate response to regulatory complaints.
• Assess legal risk from negative reviews.
• Flag high-risk public issues to management.
5. Government & Authority Liaison
• Primary contact with:
o Ministry of Health
o Market Surveillance Authority
o Documents registration concern which related with customs Authority
o Vietnam Competition Commission
o (if required)
• Handle official letters and responses.
• Draft formal regulatory clarification letters.
• Support product recall communication if needed.
6. Risk Management & Crisis Control
• Assess regulatory exposure risk for new product launch.
• Conduct compliance audit for all SKUs annually.
• Work closely with MKT team & RD for Prepare corrective action plan (CAPA) if violation found.
• Support investigation responses (e.g., ingredient origin, labeling disputes).
7. Trademark & IP Coordination
• Coordinate trademark registration in Vietnam.
• Support copyright registration for packaging artwork.
• Monitor counterfeit complaints.
• Assist in anti-counterfeit regulatory enforcement.
8. Classification of Internal Documents (Regulatory-Critical Documents)
