1. Luxury Tour Operations & Service Coordination
• Coordinate and arrange all travel services nationwide in line with luxury service standards
• Review itineraries in detail and fully understand client preferences and special requests from the Sales team
• Book and reconfirm services including hotels, transportation, guides, restaurants, and unique experiences
• Manage premium services such as seaplane and helicopter arrangements with accurate logistics and contracting
• Maintain and update master booking files, ensuring all services are confirmed at least 7 days prior to arrival
• Prepare operational documents and conduct guide briefings at least 3 days before arrival
• Manage operational inventory (welcome signage, amenities, etc.)
• Ensure all suppliers are well-briefed on client expectations prior to arrival
2. Service Quality Control & Tour Monitoring
• Monitor ongoing tours to ensure smooth execution and consistent service excellence
• Proactively identify and prevent potential issues through strong coordination and planning
• Handle operational challenges and provide timely solutions in collaboration with Sales and Customer Service teams
• Ensure guides submit daily reports and share updates internally
• Report incidents promptly and support resolution to maintain client satisfaction
• Process guide cash advances and tour reconciliations in line with company procedures
3. Operational Support, Visa & Supplier Coordination
• Coordinate visa applications and airport fast-track services with accuracy and timeliness
• Liaise with visa partners and airport service providers to ensure smooth arrival experiences
• Support the Director of Operations in developing and maintaining the guide network
• Recommend high-quality hotels, restaurants, and suppliers to enhance luxury travel experiences
• Perform other operational tasks as assigned
