Mô tả công việc
I. JOB PURPOSES
AP functions:
- Posting invoices into ERP (M3) system on time;
- Manage accounts payables using the ERP (M3) system to ensure that there are no issues pending in outstanding balances due to/from vendors;
- Reconcile AP balance in routine and verify differences (if any);
- Manage relationships with vendors and ensure on-time payment for suppliers;
- Manage AP team to ensure the work completed on time;
Treasury:
- Manage all tasks in treasury function including cash-flow forecast and funding, payment schedule, Interco balance reconciliation and controlling Interco payment/collection schedule, loan registration, and management;
- Ensure that all payments are processed with correct bank information;
- Ensure that supporting documents are checked properly before being submitted to FM for review and approval for payments;
II. MAJOR ACCOUNTABILITIES
1) General:
- Propose the improvement in the payment process to reduce time processing and errors;
- Support FM to prepare the standard documentation for monthly reports and routine transactions to provide details guidelines and checklist for execution and follow-up;
2) Cash-flow management:
- Keep track of the actual cash flow to identify any significant variance between the actual spending and obtain the understanding from PIC in order to analyze and forecast the cash-flow trend; bring the determined issues to the Finance Manager for further actions if required;
- Prepare liquidation report and review with Finance Manager before sending to General Accounting team for monthly report submission;
- Manage the cash position of each currency in line with the cash requirements to ensure that there is no issue with a payment schedule;
- Align the interco payment schedule with other entities to ensure that there are no mismatches in interco balance and any old-aged items are under control with agreement from FMs and RFD;
3) Accounts Payables:
- Manage accounts payables using ERP (M3) system;
- Provide on-job training about tax and accounting regulations for AP team members to ensure that the supporting documents received follow regulations as well as minimize the volume of the non-deductible expenses in CIT calculation, highlight documents being subject to FCT and share with the General accounting team for review and calculating FCT;
- Process transactions and perform accounting duties such as: checking documents to ensure that they are compliant with Company policy and current effective regulations and standards; recording entries on a timely basis; and filing documents into Proxess on time;
- Reconcile AP breakdown with TB before and after revaluation;
- Complete steps on the AP side for a month-close process;
- Establish and maintain relationships with new and existing vendors;
- Propose improvements in the AP process to increase the efficiency and effectiveness of the Internal control system;
- Support the Finance Manager in controlling and implementing new projects of AP function;
- Prepare monthly reports for AP function for review and analysis in order to manage the old-aged items, and issues pending and identify process gaps to be improved;
4) Bank transactions:
- Support Finance manager to deal with banks for FX rate and time deposit rate;
- Coordinate with banks to process transactions/update the Company information as per request on time;
- Prepare payment list on time and review supporting documents transferred from AP Team to ensure that they are properly and comply with regulations (accounting, tax, and foreign currency management);
- Review and ensure there is no issue in bank information of transactions proposed in the payment list;
5) Accounting:
- Update payment transactions into TM5 & ERP system on time in order to provide timely data for reporting;
- Reconcile cash/bank as per the agreed month-close deadline and ensure that cash/bank balance is matched with accounting book and TM5 system;
- Post accruals for expenses relating to Treasury function as per agreed month-close deadline;
- Prepare the Loan breakdown report for control loan movements as well as interest expense for payment and accruals;
- Support FM and General accounting team to prepare data and documents for statutory audit and tax audit;
6) Loans management:
- Register long-term loans or the extension of a short-term loan to a long-term loan with the State Bank of Vietnam (SBV) and update any amendments as required by regulations;
- Prepare the monthly/annual performance of borrowing and repayment of offshore loan reports as per requirement of SBV
- Control the loan repayment and loan interest payment schedule and prepare the payment documents properly and on time
7) Budgeting:
- Prepare the loan interest expenses for budget and forecast I, II, and III activities;
- Propose the budget for bank charges and other expenses for Treasury function (if any);
8) Others:
- Other Adhoc as assigned by direct supervisor and line manager;
Yêu cầu
- Bachelor's Degree in Finance and Accounting
- At least 7-10 years of working experience in the relevant fields
- Good command of English (both verbal and written skills)
- Good knowledge of Tax and Accounting; working with SBV and commercial banks; and regulations on foreign currency management and offshore loan management
- Good understanding of VAS, taxation, especially in CIT, FCT, and invoicing
- Experience in ERP system, especially in Finance module
