1. Reception Support
• Greet and assist members, guests, and prospective clients in a professional and friendly manner
• Conduct site tours and introduce co-working services and membership benefits to prospective clients
• Manage member onboarding processes, including checklists, parking cards, access (face ID), and welcome kits
• Maintain accurate member records and report any maintenance or security issues
2. Office & Facility Support
• Ensure all working areas and meeting rooms are clean, organized, and presentable at all times
• Troubleshoot and coordinate resolution of office-related issues (e.g. facilities, air conditioning, carpet, glass/fixtures, etc.)
• Manage office supplies and pantry services, and support coordination of support staff and equipment
• Provide administrative support related to office setup and workspace arrangements (e.g. office setup/repairs, ordering office supplies, event flowers, sample disposal, etc.)
3. Administrative Support
• Handle assigned administrative tasks for incubees as required (e.g. visa and work perm
it support coordination, office/house/school search, and related coordination tasks, etc)
• Support members/incubees with meeting room bookings, equipment usage, and day-to-day requests
• Handle incoming and outgoing mail, parcels, and deliveries for members and incubees
• Liaise with suppliers, support vendor coordination, and follow up on basic administrative processes as needed
• Support ordering and coordination of business-related administrative requests (e.g. business cards and other office-related requests)
• Support tracking of co-working and private office expenses for reporting purposes
4. Community & Events
• Support community engagement initiatives and activities, contributing to a positive and inclusive environment
• Assist with event coordination, setup, and on-the-day operations
• Support relationship building and positive experiences for members and guests within the co-working environment
5. Others
• Follow and implement SOPs and internal processes
• Proactively suggest operational and service improvements to enhance member experience and workplace efficiency
• Coordinate with other stakeholders to ensure smooth service delivery to clients
