Purpose of Role:
• Organizing annual health check for total Binh Duong factory.
• Managing all admin services in Binh Duong factory in managing canteen, transportation, uniform, laundry, and other administrative affairs.
• Responsible for reporting all Admin-related data and improving the efficiency of services.
Key Accountabilities/ Job Description:
I. Annual health check:
Coordinate with C&B team to organize annual health check for employee.
Person in charge in organizing site annual health check for Binh Duong factory.
II. Third-party services management:
1/ Canteen management
• Ensure there is enough ration for everyone. The company shall not pay over the actual ration which the employees have.
• Ensure the weekly menu is diverse, nutritious, and to the employees' tastes.
• Daily supervise the employees' ration supply, especially to direct laborers to ensure sufficient quantity.
• Ensure that the canteen meets the high hygiene standard of tables/ chairs, spoons, forks, trays, bowls... Ensure there are no hair/strange objects in the food.
• Implement the canteen management process to meet the food hygiene standard.
• Prepare monthly report of canteen costs for every staff/ department/company on time.
• Control canteen expenses and report to HRBP and Admin Service Manager.
• Developed and supervised staff to implement canteen procedures, regulations, and working standards.
• Ensure safety in the canteen area.
• Coordinate with the Canteen Manager (Vendor) to plan service improvements when receiving employee complaints.
• Monthly KPI tracking and evaluating (Meeting with vendors, reviewing KPI).
2/ Transportation management
• Supply the transport according to the company's requirements reasonably and effectively.
• Monthly check fuel consumption and report all vehicle costs, including maintenance and drivers' overtime, according to company regulations.
• Monitor petrol record expense and make sure it is cost-effective.
• Control transportation cost in the budget (company car + taxi cost)
3/ Uniform / Laundry Uniform management
• Conduct daily checks of quality and quantity uniform laundry uniform service by vendor.
• To ensure uniform after the laundry is clean and not torn while meeting microbiology standards PVM requires.
• Quality/quantity control
• Person in charge for annual uniform distribution plan for total Binh Duong factory.
• Track laundry costs as well as new uniforms.
• Manage safety shoes distribution.
• Cost management is required.
• Monthly KPI tracking and evaluating (Meet with vendors, review KPI)
4/ Garden Service management
• Maintaining factory landscaping.
• Determine the right location to place plants in the plant. Ensure that trees do not interfere with production and do not endanger employees.
• Make sure the plant is watered regularly and sufficiently.
• Regularly check the condition of the plant, remove dry leaves and dead branches, and check the plant's growth.
• Monthly KPI tracking and evaluating (Meet with vendors, review KPI)
5/Express service management
• Control and submit payment Mobifone for MT and the Sales Team.
• Person in charge of express service in Binh Duong Factory: Pay the monthly cost of sending documents and goods from couriers (DHL, EMS) and submit them to finance.

III. Admin team (Receptionist, Tea Lady, Driver) management:
• Responsibility for all admin service in Binh Duong factory office: Manage the factory office, including the reception area, training/ interview/ meeting/office room, locker area, and rest room, stationery and necessary things....
• Led a team of administrative professionals to streamline office processes and improve efficiency.
• Cost management
• Monthly KPI tracking and evaluating (Meet with team, review KPI)
Others:
• Counting and
purchasing equipment, stationery, and food to serve the Office.
• Supporting/leading, planning, and implementing internal events/ seminars with the HR team, HR Projects
• Other tasks assigned by manager.
1. Education: College graduate, major in Office Administration/Business Administration/Hospitality/English
2. Experience:
• 2 years experience
• High responsibility, proactive and processability in administrative tasks
