Location and Schedule:
Working hours: 9:00 AM - 6:00 PM (Monday to Saturday)
The schedule may change during spring, fall, summer, and winter breaks.
Ciputra Campus: Shophouse A26, Sunshine City, Nam Thang Long Urban Area (Phase 2), Phu Thuong Ward, Hanoi.
Key Responsibilities:
1. Executive Support
Manage the CEO's schedule, including meetings, events, classes, and travel arrangements.
Draft, respond to, and organize emails, messages, and internal/external correspondence.
Organize and support meetings: prepare agendas, gather documents, schedule attendees, and take minutes.
Relay key communications between the CEO and internal teams.
Manage academic communication with students and parents for the CEO's teaching responsibilities.
Ensure the confidentiality of sensitive information and strategic matters.
Handle administrative and procedural legal tasks (e.g., preparing contracts, working with legal advisors, supporting internal policy updates).
2. Technology & Workflow Automation
Build and manage automated workflows to streamline recurring tasks.
Assist in managing and integrating CRM systems and internal databases.
Research, test, and implement AI tools and automation software (e.g., Zapier, Notion AI, ChatGPT) to improve operational efficiency.
Develop internal tools or simple scripts to support recurring business functions.
3. Project & Systems Management
Support the CEO in planning, structuring, and managing diverse projects using digital and AI-enhanced tools.
Optimize task tracking systems and documentation workflows (e.g., Notion, Airtable).
Identify inefficiencies in day-to-day operations and propose smart, tech-driven solutions.
Coordinate cross-functional efforts across departments to align with strategic goals.

Language requirement: good command of English (equivalent of IELTS 6.5 or higher)
Highly detail-oriented with excellent organizational and time management skills.
Strong written and verbal communication in English (working environment is English-speaking).
Demonstrated experience or familiarity with workflow and productivity tools
Comfortable working with AI and automation tools (e.g., ChatGPT, Notion AI, [protected info]).
Strong problem-solving mindset and self-initiative in learning and applying new tools.
Bachelor's degree or higher
Ability to work under pressure, maintain professionalism, and handle multiple priorities.
Interest in business operations, system building, and potential long-term growth into leadership roles.
