JOB DESCRIPTION
Calendar and Schedule Management
Support the CEO with daily administrative, operational, and coordination tasks.
Assist in managing calendars, scheduling meetings and arranging appointments.
Take organized meeting notes, summarize key discussion points and provide a concise recap to the CEO after each meeting.
Follow up with relevant internal teams after meetings to monitor progress, ensure action items are completed on time, identify updates or opportunities for improvement, and provide timely reports to the CEO.
Support travel arrangements, including flights, accommodation, transportation.
Communication and Information Management
Support the preparation of reports, proposals, and other documents as requested by the CEO.
Collect, review, verify, and consolidate information from relevant internal teams for the CEO's review, approval, and decision-making.
Coordinate with relevant internal teams to follow up on assigned tasks, timelines, and action items, ensuring smooth communication and timely execution.
Maintain prompt and professional communication with the CEO by responding to requests in a timely manner, providing regular progress updates, and reporting immediately upon task completion.
Handle confidential information, including business operations, client matters, and strategic initiatives, with the highest level of integrity, professionalism, and discretion.
Perform other tasks as assigned.
Operational Support
Facilitate cross-functional coordination to ensure assigned tasks are completed accurately and within the expected timeline.
Travel between the Head Office and branches when required to support business operations.
Remain responsive to urgent work-related communication outside regular office hours when necessary.
REQUIREMENTS
Good command of English (spoken & written); Mandarin is a plus.
Strong organizational skills, attention to detail, and ability to handle tasks with urgency.
Proficiency in Microsoft Office (Word, Excel & PowerPoint).
High integrity and discretion in handling confidential information.
Proactive, responsible, eager to learn, and willing to take ownership of assigned tasks.
Ability to work independently and collaboratively in a team.
Interns are required to bring and use their own laptop.
Previous office experience is a plus.
