1. HR-Administrative tasks
· Handle incoming/outgoing phone calls & other correspondence; front-desk & visitors
· Coordinate and handle daily office activities to ensure the efficiency of admin tasks
· Manage and organize HR - Admin documentation in systematic and confidential mode
· Coordinate meetings and internal events by arranging venue, facilities, materials etc.
· Manage office supplies, payment, internal charge concerning the fund of Admin in HN
· Coordinate the usage of classrooms and facilities & other services of the Service Unit
(tea break, gift set, transportation, stationery, ...)
· Manage attendance, leave records, staff records, gifts budget
· Join hands to improve working procedure, template, management
· Liaise with agency of social insurance on social insurance issues and personnel policies.
· Support other HR-related tasks upon request if any (recruitment, onboarding, offboarding...)
· Make reports upon requests
2. Support the Board of Directors
- Support the Board of Directors in logistics upon request if any
- Work closely with the executive team to support cross-team coordination, ensuring the assigned objectives and tasks are completed as scheduled
- Participate in planning and assisting other teams in addressing any arising issue
- Provide the requested information and reports regarding team performance and activities to the executive team
3. Cashier (for staff located in HCMC only)
- Manage the cash fund, namely, recording, tracking, and processing office-related expenses
- Ensure the expenditure and payments in compliance with the approved budget, financial policies, schedule and procedure
- Update and report daily the financial transactions and cash reports as required.
4. Other tasks assigned by the Board of Directors and Head of Department.
Yêu cầu
- Bachelor's degree in business administration or relevant); min 02 YoE in HR-Admin management (Experience in the industry of Training/Education is a plus)
- Good command in Vietnamese/ English and office suite & AI
- Good skills at planning, teamwork and inter-person communication
- Eagerness to learn, type of accountable and proactive person at work
- Good sense of people care, sense of urgency, sense of confidentiality
