Mô tả công việc
Office Tasks:
Mail Delivery and Receipt: Manage the mail delivery software from Viettelpost, record sender details, and package information; receive mail from the security guard and hand IT over for signing.
Check and manage office supplies.
Answer calls through the switchboard and transfer calls or correspondence to the relevant department.
Welcome customers and partners visiting the office, and guide them to the appropriate destinations.
Assist with security by monitoring the entry and exit of guests.
Receive and send information and documents, either in hard copy or digital form via email, mail, or fax.
Schedule appointments and assist with other administrative tasks.
Monitor and book flight tickets: Receive information from the agent, track document collection, and handle monthly payments.
Book hotels for clients and foreign colleagues visiting Vietnam, and handle corresponding payments.
Be responsible for arranging travel and accommodation for experts and guests.
Support company events.
Administrative Procedures for Foreigners and Employees:
Manage mail and delivery of goods.
Arrange and organize office supplies, ensuring necessary supplies are available for foreigners and employees when needed.
Payment Procedures:
Create PR, PO, and post GR on the SAP software for payments to suppliers: office supplies, necessities, shipping fees, equipment, flowers, bottled water, office food, and multi-purpose paper.
Provide and store documents, invoices, and detailed warehouse release slips for payment purposes.
Other tasks as required by supervisors.
Yêu cầu
Education: College or University degree in Economics, Human Resource Management, English Language or related fields.
Experience: At least 1 year of experience.
Skills: Ability to work with foreigners, proficiency in office software, ETC.
Required Qualities: Careful, meticulous, flexible, good communication skills, management and organizational skills, and planning abilities.
