Purpose
The Junior HR Admin Executive supports the work of the Vietnam People Team by providing the routine execution of efficient administrative tasks both in a pure human resources context and also more widely to support the office management.
Duties
Human Resources Administration (80%)
Organize and maintain the personnel records for the Vietnam Office, both electronically and paper-based records.
Manage the internal HR databases undertaking tasks such as data entry, data updates, and filing, etc.
Perform administrative tasks and process the documentation for the onboarding and offboarding process for staff.
Support the Office Management of the Vietnam Office (e.g. manage the Vietnam office assets, process office expense, and stock stationery, etc.)
Compile reports on key HR metrics including attendance tracking on a regular basis.
Act as an administrator for some tools of the company including G-suite, Slack, and other internal tools.
Coordinates and undertakes travel bookings, visas, and work permits as assigned for Company staff who are traveling from overseas.
Support recruitment work by updating application status in the applicants tracking system as requested.
From time to time, the recruitment team may ask for other administrative support.
Identify ways to continually improve the employee experience and HR administration of the Vietnam People Team function through process (re)design, finding efficiencies, and leveraging technology.
Office Management Support & Other (20%)
Perform daily office administration tasks (including booking meetings and undertaking event logistics as directed).
Perform reception duties for the office as required.
Undertake other assigned duties and cross-functional tasks.
Candidate Profile
Experience
Previous experience working in an office environment in an administrative position (suggest 6 months).
Experience in data entry and database work.
Qualifications & Technical Skills
Graduate degree-level qualification in HR, Business Administration, English, or another relevant field.
Strong communication skills (verbal and written) in both English and Vietnamese.
Strong working skills in Microsoft OS and Google suite programs (Docs, Sheets, Slides, etc.).
Experience in using collaboration tools (Slack, Click Up, etc.) is advantageous.
Other Attributes
Strong interest to start a career in Human Resources.
Interest in the field of technology and Artificial Intelligence is advantageous.
Strong ownership and proactiveness to complete routine tasks with minimal supervision after training.
Attention to detail, hardworking, and ability to work under pressure.
Strong sense of problem-solving with a solution-oriented approach.
Strong customer service skills.
