About the Role
We're looking for a Project Management Assistance (PMA) to act as a trusted right hand to a
Head of Studio (HoS) running a mature game studio. This is more than admin. You take the personal, documentation, and reporting load off the HoS, keep a clear picture of how the studio is spending its time, and have the judgement to advise the HoS when effort and value are drifting apart.
You free the HoS to focus on craft and leading their team, and you're someone they can trust to think alongside them. Your dashboards and advice are HoS-facing, and external delivery coordination and the shared delivery board stay with the DC / Delivery
Manager line.
What You'll Do
Manage the HoS's Time: Own the HoS's calendar, meetings, and travel. Protect their focus time and make sure they walk into every meeting prepared.
Own Documentation: Keep the studio's documentation accurate, organised, and current. Take meeting notes, capture decisions, maintain records, and make sure the HoS can find anything they need fast.
Maintain the HoS's Metrics and Dashboards: Build and keep current the HoS's view of how the studio is running, including effort, progress, and where time is going. Turn raw activity into a clear picture the HoS can read at a glance.
Keep the HoS Ahead of Their Day: Track the HoS's action items and commitments, remind them of what's due, and chase the small things to completion so they don't have to.
Support Studio Coordination: Give the HoS a clear, current picture of the studio's projects so they can steer. Keep the HoS's view of the boards and tools (Jira, Miro or similar) up to date,
help track progress against plan, flag slips and dependency risks to the HoS, and keep project meetings and the HoS's reporting organised.
What Success Looks Like (First 3 to 6 Months)
The HoS's calendar and admin run cleanly, freeing their time for craft and team leadership.
Studio documentation is accurate, organised, and trusted as the single place to look.
The HoS has a clear, current dashboard of how the studio is spending effort, without having to assemble it themselves.
Must-Have Skills and Experience
Experience: 0-1+ years in an executive assistant, chief-of-staff, project-coordination, or PMO-
support role. Experience supporting a senior leader is essential.
Documentation: Strong writing and documentation skills, able to capture decisions and keep records clear and current.
Metrics and Dashboards: Comfortable working with data and reporting tools to build and maintain simple dashboards (e.g. spreadsheets, Jira reports, or a BI tool). Able to turn activity data into a clear story.
Communication: Excellent communicator, discreet and professional, comfortable being a confidential sounding board for the HoS.
Soft Skills: Proactive, dependable, and detail-oriented. Anticipates needs before being asked.
Preferred Qualifications (Nice-to-Have)
Experience in the game development or tech industry
Familiarity with Jira and dashboard/BI tooling
Exposure to delivery or project management practices A proactive eye for spotting where time is being spent on low-value work, and the initiative to suggest a better use of it.
