Mô tả công việc

JOB PURPOSE
You will be the face of our school towards our stakeholders (existing parents, students, prospects, and visitors) and the first point of contact for their inquiries, and will support the school Admissions team and other school teams to deliver an outstanding experience for parents and students.

MEASURES OF PERFORMANCE
Support current students and their families in their inquiries (received via email, phone call, or in person),
• Parent Feedback
• Feedback from other departments
In particular with regards to:
• (Re)Issuing of school ID cards (both for students and parents/carers).
• Absences and early dismissal requests.
Purchasing of school uniforms. This includes cashier tasks.
• Receiving and directing parcels delivered to students.
• Pass on messages to other members of the academic or administrative team.
Support other school groups (academic, administration) with the following planned administrative task:
• Daily checking of class attendance registration with teachers.
• Daily printing of school registry.
• Processing monthly payment request for Viettel Telecom, Viettel Post, VNPT (on the beginning of new month only)
• Registries are physically printed by 9:30 am every day.
• Phones are not disconnected.
Support other school groups (academic, administration) with ad hoc administrative tasks such as:
• Postage and Handling (both sending and receiving).
• Printing.
• Ordering supplies.
• Liaising with parents on behalf of academic office, finance department.
• Managing school taxi card and administrative follow-ups connected to its use.
• Distributing ID cards on behalf of IT or other (to carers, to classrooms).
• Any other tasks as deemed appropriate by the Director of Admissions, Marketing & Communications.
Co-ordinate day trips with Primary and Secondary teachers:
• Act as a SPOC for any queries related to day trips effectively submitted.
• Manage day trip requests
• Investigate options and pricing depending on the requests
• Process the trip proposals and risk assessments
• Create detailed trip cost in the BIS Hanoi template
• Liaise with external venues to complete bookings per the requests
• Process payments
• Organise transportation and/or food as required
Provide the first point of contact to prospective parents on the general Admissions phone line, making the experience positive, straightforward, and engaging
• Delivery of weekly KPIs
• Feedback from parents
• Ensure high-quality communication: language, tonality and structure.
• Maintain high levels of warmth and enthusiasm throughout all communications.
• Ask appropriate questions to capture required information from prospective families ensuring consistent attention to detail.
• Pass contact details for prospective families through to relevant Admissions team members in an accurate and timely manner.
Provide the first point of contact to BIS Hanoi visitors, making the experience positive, straightforward, and engaging throughout.
• Delivery of weekly KPIs
• Feedback from parents
• Ensure high quality communication: language, tonality and structure.
• Maintain high levels of warmth and enthusiasm throughout all communications.
• Ensure they are comfortable and have everything they need while they wait for the Admissions staff to join the visit in the case of a prospect.
• For other inquiries, accurately direct them according to school policy (visiting a class, etc.)
Support the Admissions team as requested. Main tasks will include:
• Periodic audit of information within iSAMs / Salesforce to ensure accuracy
• Ensuring all leads are loaded into iSAMS / Salesforce* in timely manner.
• Co-ordinating with parents and teaching staff on the information and documents required for the completion of application and enrolment steps of the Parent Experience Journey.
• Co-ordinating the booking of tours and assessments with families, the Admissions team and the wider school faculty, ensuring all booked dates, detail and outputs are recorded accurately in iSAMs / Salesforce.
• If an Admissions team member is unavailable, or during busy periods, directly handle enquiries from prospective families and support on school tours.
• Any other tasks as requested by the Director of Admissions, Marketing & Communications or the Admissions Manager.
Provide appropriate feedback and best practice share to other members of the Admissions and wider school team.

• Support the DAM to develop a culture where the school engages as one and works to ensure admissions is a whole school responsibility.
• Contribute to the sharing of best practice in admissions across the Admissions team, region and group.
• Perform other duties assigned by Line manager/Business Director/Principal.
Take a proactive approach to personal development planning using company toolkits and procedures as appropriate.
• Take ownership for personal development and works with Admissions Manager to develop and implement a focused and straightforward Personal Development Plan.
• Take ownership for requesting feedback from others in a timely fashion.
• Provide both constructive and appreciative feedback both unprompted and when asked.

Higher Level School Qualification
Experience / Knowledge/ Skills
• Minimum 2 years working in a customer-facing role or service delivery sector Essential
• Good cross-cultural, interpersonal & communication skills and an affinity for Essential
interacting with diverse nationalities and cultures
• Experience of having worked within a service delivery sector, education Desirable
sector experience a bonus
• Good written and verbal communication skills in English and Vietnamese Essential
• Good time management skills and flexibility in dealing with multi-functional Essential

• Experience of working with a CRM system and/or IMS Desirable
