Mô tả công việc
Assist Client to handle services at reception area:
• Maintain a clean, professional, and welcoming reception area that reflects the company's brand and values.
• Organize the reception area while complying with office procedures, rules, and regulations.
• Guests/Visitor Management:
o Greet & welcome visitors. Notify relevant employees when visitors arrive.
o Provide guidance to visitors for available refreshment while waiting for hosts.
o Assist security procedures, such as monitoring the logbook and issuing visitor badges.
o Answer visitors' questions, calls, and emails, and provide them with the relevant information.
o Per request, receive PPEs from hosts and distribute to visitors.
o Support Visitor luggage keeping.
o Support guest Wi-Fi access request.
o Support Taxi transportation reservation.
o Recordkeeping of visitor's logbook.
• Handling queries and complaints via phone, email, and general correspondence. Transferring incoming calls as necessary.
Manage Inbound & Outbound Mail Service:
• Receive, sort, notify, distribute all inbound and outbound mails, following Mailing Service SOP.
• Manage mail service vendor performance.
• Check mails to ensure correct postage and that packages and letters are in proper condition for mailing.
• Prepare and provide all necessary stationery/amenities for mailing.
• Record-keeping of all inbound and outbound mails.
Handle Other Office Services:
• Keep a record of office supply inventory for the reception areas.
• Oversee office services like cleaners and maintenance service providers at the reception area.
• Handle transcription, printing, photocopying, and faxing as requested.
• Coordinate with event hosts for internal and external events as requested.
• Coordinate with event hosts to ensure meeting rooms are set up, AV equipment is functional, and hospitality services are available for scheduled meetings.
• Other soft service tasks/duties as assigned by supervisor.
Yêu cầu
• Qualifications:
+ Associate or bachelor's degree in communications, foreign language, or business.
+ Experience at least 3 years in a similar role.
+ Proficient in Microsoft Office software.
+ Good communication skills in both Vietnamese and English, both written and verbal.
+ Willingness to travel to VSIP 3 in a daily commute.
