1. Role Overview
Maisa World is seeking a highly disciplined, structured, and execution-driven Regional Office Manager to oversee and coordinate administrative, legal, compliance, and operational functions across Vietnam, Singapore, and Hong Kong.
This role serves as the central control and coordination hub for the group's back-office and governance functions, ensuring consistency, compliance, and execution discipline across all markets.
The ideal candidate is hands-on, highly organized, and assertive, with the ability to manage multi-country operations, enforce structure, and ensure timely execution of management directives.
2. Key Responsibilities
A. Regional Office & Operations Management
• Oversee daily office operations in Vietnam (regional support hub)
• Coordinate administrative functions across Singapore and Hong Kong entities
• Implement, standardize, and enforce SOPs across all offices
• Manage office vendors, leases, procurement, and operational costs
• Ensure smooth, efficient, and structured office operations
B. Cross-Border Coordination & Execution Control
• Act as the central coordination point between Vietnam, Singapore, and Hong Kong teams
• Ensure alignment of processes, reporting standards, and communication across markets
• Track execution of management directives and key action items across departments
• Follow up with teams and escalate delays, risks, or gaps to CEO
• Support regional expansion and operational initiatives
C. Legal, Compliance & Corporate Governance
• Maintain and manage contracts, NDAs, distributorship agreements, corporate records and critical documentations.
• Track deadlines for licenses, permits, statutory filings, and regulatory requirements
• Liaise with external legal counsel across Vietnam, Singapore, and Hong Kong
• Support corporate matters including:
o Company setup / restructuring
o Trademark filings (e.g., MAISA brand)
o Capital changes and regulatory updates
• Monitor regulatory changes and proactively update management
• Ensure strict compliance with local laws and internal governance standards
D. Finance & Administrative Control
• Coordinate with finance teams (Vietnam, Singapore, Hong Kong) on HR documentation and submissions
• Monitor administrative and operational expenses across offices
• Ensure proper documentation for audits, banking, and external stakeholders
• Handle CEO administrative expense tracking and claims
E. HR & Office Governance Support
• Coordinate HR administrative processes (onboarding, contracts, documentation, compliance)
• Ensure proper maintenance of employee records and HR documentation
• Support enforcement of company policies, discipline, and internal controls
• Work with management to improve organizational structure and accountability
F. Import / Export & Trade Documentation
• Maintain structured records for shipments, permits, and inspection reports
G. IT & Systems Coordination
• Manage office IT infrastructure, hardware, and access control
• Coordinate with external IT vendors for system setup and troubleshooting
• Manage user access for Microsoft 365, cloud systems, and internal platforms
• Ensure data organization, security, and access discipline
H. CEO & Management Support
• Provide operational and administrative support to CEO and senior management
• Prepare reports, summaries, and internal documentation
• Track key action items and ensure timely follow-through
• Handle confidential information with high integrity and discretion
Yêu cầu
Education
• Bachelor's degree in Business Administration, Law, Finance, Economics, or related field
Experience
• Minimum 5-8 years of experience in office management, operations, administration, or compliance roles
• Proven experience handling multi-country or regional operations
• Experience working with Singapore and/or Hong Kong entities is highly preferred
• Background in FMCG, trading, logistics, or fast-growing companies is an advantage
Skills & Competencies
• Strong understanding of corporate administration, legal documentation, and compliance
• Good knowledge of finance and accounting processes
• Ability to manage cross-border coordination and multiple stakeholders
• Strong execution capability with high attention to detail
• Assertive, disciplined, and able to enforce structure across teams
• Strong problem-solving and follow-through ability
Language Requirements
• Fluent in English (mandatory)
• Vietnamese (native or fluent)
• Mandarin is a plus
Technical Skills
• Proficient in Microsoft Office (Excel, Word, PowerPoint)
• Familiar with Microsoft 365 ecosystem
• Experience with accounting systems (e.g., Xero, FAST) is a plus
• Exposure to AI tools or digital systems is an advantage
