· Provide day-to-day administrative and clerical support to the Administration Department and other departments as assigned.
· Maintain physical and electronic filing systems, ensuring accurate document control, record management, archiving, and distribution in accordance with Company procedures.
· Assist in coordinating office administration activities, including office supplies, stationery, pantry supplies, office equipment, and other administrative resources.
· Support administrative procurement activities by preparing purchase requests, obtaining quotations, tracking deliveries, and maintaining procurement records.
· Assist in organizing meetings, workshops, company events, staff outings, and other corporate activities, including logistical arrangements and administrative support.
· Assist in arranging business travel, transportation, accommodation, and related logistics for employees and visitors as assigned.
· Provide administrative support for expatriates and visitors, including preparation of required documents, coordination of accommodation, transportation, visa and residence card documentation, and other logistical arrangements.
· Support the verification, filing, and tracking of administrative invoices, payment documents, and expense records.
· Assist in maintaining office assets, inventories, and fixed asset records as assigned.
· Provide secretarial support and serve as backup for
Admin Officers, Department Secretaries, and Receptionists when required.
· Maintain meeting schedules, calendars, and appointments, and assist in coordinating daily administrative activities.
· Support the preparation of periodic administrative reports and statistical data as requested.
· Participate in mandatory HSE training and safety initiatives & perform duties in a safe manner and contribute to maintaining a safe working environment.
· Other tasks as and when required by Line Manager
* Qualification: Bachelor's Degree or Diploma in Business Administration, English, Office Administration, or a related discipline is preferred.
* Knowledge & Experience
· At least 1 year of experience in administrative or clerical support.
· Knowledge of office administration procedures and document control practices.
· Familiarity with filing systems, office equipment, and administrative processes.
· Experience in supporting procurement, travel arrangements, and company events is an advantage.
