Department: SWEET FLAVOR
PURPOSE OF THE ROLE
• To support R&D activities, manage logistics and shipments, and oversee flavor collection stock, ensuring smooth operations across Sweet Flavor
• Maintain flavor sample collections and inventory accuracy to support product development, customer requests, and operational excellence.
• Provide administrative and coordination support to the R&D Manager and R&D team to ensure smooth department operations.
Reporting To: R&D Manager
DUTIES AND KEY PERFORMANCE INDICATORS
Sample Management & Inventory Control
Manage flavor sample collection and inventory; receive, store, distribute and monitor samples; maintain stock accuracy and storage conditions; label samples, update locations and quantities in systems; dispose of expired samples; prepare samples for evaluator and project leader trials.
Sample Logistics & Shipment Coordination
Coordinate with laboratories, project leaders, and other departments for sample preparation and shipment" / Arrange and track local and international shipments / Verify accuracy of sample information, labels, and supporting documents prior to shipment. Communicate with affiliates for sample requests and handle urgent shipments as needed. Manage custom invoices and parcel shipments for affiliates.
Documentation & System Administration
Maintain and update sample, shipment and inventory records; process code extensions; update information on GPMS system; verify sample information, labels and supporting documents before shipment.
R&D Administrative Support
Support expense claims, meeting arrangements, Technical Introduction Program scheduling for newcomers, team engagement events and other department administrative activities.
Others
Perform other duties assigned by the R&D Manager from time to time

• Managing multiple sample requests and shipments under tight deadlines.
• Maintaining accurate inventory records while ensuring sample availability.
• Coordinating effectively with multiple stakeholders across departments and affiliates.
• Handling urgent customer and project requests while maintaining operational efficiency.
Yêu cầu
Education / Knowledge
• BA degree in business administration, Logistics, Supply Chain, or office administration.
Experience
• Minimum 1-2 years of experience logistics coordination, administration, or assistance/secretary
Competency / Skill Levels
• Strong organization and coordination skills.
• Good communication and interpersonal skills.
• High attention to detail and accuracy.
• Good planning and follow-up skills.
• Ability to manage multiple priorities and meet deadlines.
• Basic understanding of inventory control and logistics, and sample management processes.
• Good problem-solving skills and service mindset.
• Proactive, adaptable, and able to work independently and collaboratively.
Other Requirements
• Proficient in Microsoft Office applications, especially Excel.
• Good English communication skills.
• Able to work independently and collaboratively in a fast-paced environment.
