Job Summary:
The Assistant Clinic Manager supports the Clinic Manager in overseeing daily operations, ensuring high-quality service delivery, and maintaining international healthcare standards at Family Medical Practice Da Nang. This role requires excellent organizational, communication, and leadership skills, with a strong ability to coordinate between medical and non-medical teams to ensure efficient clinic performance and outstanding patient experience.

Key Responsibilities:
1. Operational Support
- Assist the Clinic Manager in managing the daily operations of the clinic, including patient flow, staff coordination, and facility management.
- Supervise administrative teams and support departments (reception, cashier, customer service, etc.) to ensure efficient and professional service.
- Monitor and optimize clinic workflow, ensuring a patient-centered approach and smooth coordination among departments.
- Support the preparation of operational reports, schedules, and internal documentation.
- Coordinate Makerting efforts in line with FMP in Ho Chi Minh Marketing team and the clinic needs
- Ensure that all the clinic's work regulations are properly followed.
2. Staff & Performance Management
- Coordinate with HR and Clinic Manager in recruitment, training, and performance evaluation of staff.
- Support staff scheduling and leave management to ensure full operation coverage.
- Promote teamwork, professionalism, and service quality among team members.
3. Quality & Compliance
- Ensure compliance with company policies, healthcare regulations, and quality standards.
- Support internal audits, inspections, and reporting as required by management and authorities.
- Monitor and follow up on incident reports, feedback, and service improvement actions.
4. Customer Service & Communication
- Support communication between patients, medical staff, and management to ensure smooth patient experience.
- Handle and resolve patient concerns or complaints in a timely and professional manner.
- Assist in implementing service improvement initiatives and maintaining patient satisfaction.
5. Administrative & Coordination Tasks
- Coordinate with departments (Medical, Marketing, HR, Accounting, IT, etc.) for daily operational needs.
- Support logistics and
purchasing requests related to clinic operations.
- Ensure proper maintenance and use of facilities, medical equipment, and software systems.
- Vietnamese nationality.
- Bachelor's degree in Healthcare Management, Business Administration, or related fields.
- At least 3 years of experience in healthcare, hospitality, or administrative operations (experience in clinic/hospital is an advantage).
- Strong organizational, problem-solving, and leadership skills.
- Good command of English (spoken and written).
- Excellent interpersonal and communication abilities.
- Customer-oriented mindset, proactive, and detail-oriented.
- Ability to multitask and work effectively in a fast-paced, multicultural environment.
