**Position Objective and Overview**
We are seeking an enthusiastic and results-driven Enquiry Coordinator to join our admissions and marketing team. The Enquiry Coordinator will be responsible for generating qualified enquiries for our admissions team by working with the marketing team to convert unqualified leads, create prospective family events, and attend HCMC events to find new opportunities. This individual must have a growth mindset, a sales background, and excellent communication skills. The Enquiry Coordinator will work closely with the Marcom Manager and Head of Admissions to ensure that all leads and prospective families are effectively followed up with and converted into qualified opportunities for our school.
**Responsibilities**
The job holder's responsibility for promoting and safeguarding the welfare of children and young person's for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant Cognita Safeguarding; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School's Designated Safeguarding Lead or to the Head or indeed to the Cognita Regional Safeguarding Manager so that a referral can be made accordingly to the relevant third party services.
• Collaborate with the marketing team to develop and implement strategies for lead generation and conversion.
• Identify and target potential leads through various channels, including online platforms, email and phone channels, events, and partnerships.
• Follow up with all incoming enquiries promptly and professionally, providing accurate and detailed information about the school. Communicate by phone, email, and sms with opportunities to understand their needs and requirements for an international school. Provide documentation to support families.
• Schedule and confirm the timing for personal tours/school visits.
• Set weekly/monthly/termly qualified enquiry, and lead-to-enquiry conversion goals.
• Assist in the planning and execution of prospective family events, including open houses, group tours, coffee mornings, sponsored events, and information sessions.
• Attend local and international events in Ho Chi Minh City to represent the school, network with potential families, and promote enrollment opportunities.
• Collaborate with the admissions team to understand the enrollment process and requirements, providing guidance and support to prospective families.
• Use CRM software and other tools to track leads, update activities, monitor progress, and generate reports on enquiry conversion rates and marketing effectiveness.
• Continuously analyze data and metrics to identify areas for improvement and implement strategies to optimize enquiry generation and lead conversion.
• Monitor industry trends, competitor activities, and market developments to stay informed about the education landscape and adjust strategies accordingly.
• Coordinate with the marketing team to create compelling marketing materials, including brochures, flyers, and digital content, to support lead and enquiry generation efforts.
• Conduct research to identify prospective families and understand their needs, interests, and preferences.
• Conduct market research and competitor analysis to identify unique selling points and develop effective messaging strategies.
• Participate in professional development activities to stay updated on best practices in sales, marketing, and customer relationship management.
• Other duties as directed by supervisor/s.
The success of this role is measured by the number and proportion of opportunities (leads) that progress to enquiry status, the number of events organized, the level of customer service provided, the speed and efficiency of the enquiry handling process to ultimately provide a seamless admissions experience to prospective parents and students.
