Logistics Lead

1. POSITION PURPOSE
The Logistics Lead is responsible for leading and controlling the company's day-to-day logistics operations, including Import, export, customs clearance, transportation, shipment planning and logistics documentation.
The role supports the Supply Chain Manager in ensuring that materials, components and finished goods are moved on time, cost-effectively and in full compliance with applicable Customs and EPE requirements.
The Logistics Lead serves as the key operational coordinator between Supply Chain, Warehouse, Purchasing, Production, Finance, Sales/Customer Service, Customs Brokers, Freight Forwarders, carriers, suppliers and customers.
The position is expected to identify risks proactively, resolve logistics disruptions, improve operational efficiency and maintain a high level of customs compliance and shipment reliability.
2. KEY RESPONSIBILITIES
A. Logistics Operations & Shipment Management
Lead and control daily import, export and transportation activities.
Prepare and monitor daily/weekly shipment plans based on production, material and customer requirements.
Coordinate the complete shipment process from booking and pickup through customs clearance, loading, departure and final delivery.
Ensure shipments are executed according to agreed schedules and service levels.
Monitor critical and urgent shipments and take proactive actions to prevent delays.
Coordinate with Warehouse and Production to ensure appropriate inbound/outbound timing and material availability.
Provide timely escalation to the Supply Chain Manager for critical logistics risks or disruptions.
Ability to analyze and consolidate import/export requirements, develop forward-looking plans, and propose appropriate solutions to support business and production needs
B. Import, Export & Customs Compliance
Lead import/export operations in accordance with company procedures and applicable Vietnamese Customs regulations.
Ensure accuracy and consistency of logistics and customs documentation, including invoices, packing lists, transportation documents, customs declarations and other required supporting documents.
Coordinate with Customs Brokers and relevant internal functions to ensure smooth customs clearance.
Monitor and manage customs-related risks, including discrepancies in product descriptions, HS classification, quantity, value, origin, shipment type and supporting documents.
Ensure proper control and traceability of goods movements within the EPE environment.
Support customs inspections, inquiries, audits and post-clearance activities.
Maintain appropriate customs and logistics records to ensure audit readiness.
Proactively identify potential compliance risks and escalate significant issues to the Supply Chain Manager and relevant functions.
Ensure customs-related issues are properly investigated, corrected and closed with appropriate preventive actions.
Proactively monitor, anticipate and stay up to date with changes in laws, regulations and Customs requirements related to import and export procedures for raw materials, components and finished goods, and assess their potential impact on the company's operations to ensure timely preparation and compliance
Develop and maintain relationship with local and regional custom.
C. Transportation & Logistics Partner Management
Manage day-to-day operations with freight forwarders, Customs Brokers, shipping lines, airlines and transportation providers.
Monitor logistics service providers against agreed SLA and performance requirements.
Ensure timely pickup, transportation and delivery of shipments.
Investigate transportation delays, damages, losses and service failures.
Review logistics service performance and recommend corrective actions or alternative solutions.
Support the Supply Chain Manager in supplier/service-provider evaluation and negotiation.
D. Logistics Cost Control
Monitor logistics costs against approved budgets and targets.
Control freight, transportation, customs clearance, handling, storage, demurrage, detention and other logistics-related costs.
Investigate abnormal or unexpected logistics charges.
Identify and implement opportunities to reduce logistics costs without compromising service level or compliance.
Provide cost analysis and recommendations to the Supply Chain Manager.
E. Team Leadership & Performance Management
Lead, allocate and monitor the daily workload of the Logistics team.
Establish clear ownership, priorities and timelines for logistics activities.
Monitor team performance against agreed KPIs and SLAs.
Develop team capability in import/export, customs, transportation and logistics operations.
Ensure compliance with company SOPs, work instructions and internal controls.
Establish appropriate backup coverage for critical logistics activities.
Coach team members and promote accountability, continuous improvement and a results-oriented working culture.
F. Problem Solving & Continuous Improvement
Act as the first-level escalation point for logistics operational issues.
Identify root causes of shipment delays, documentation errors, customs issues, transportation failures and additional costs.
Implement immediate containment and recovery actions.
Lead corrective and preventive actions for recurring logistics problems.
Develop and improve logistics SOPs, work instructions and operational controls.
Improve shipment visibility, logistics lead time, documentation accuracy and operational efficiency.
Support digitalization and automation initiatives within the logistics function.
G. Cross-Functional Collaboration & Reporting
Work closely with Supply Chain, Warehouse, Purchasing, Production, Finance, Sales/Customer Service, Quality and other relevant functions.
Ensure logistics activities are aligned with production requirements and customer delivery commitments.
Provide regular reporting to the Supply Chain Manager covering:
Import/export shipment status
Customs clearance status
Critical and delayed shipments
Logistics KPI performance
Customs compliance issues
Transportation performance
Logistics costs
Demurrage/detention
Open issues and corrective actions
Process improvement initiatives
Escalate critical issues with a clear problem statement, business impact, root cause, action plan, owner and expected completion date.
