The Admin/HR Manager oversees all administrative, facilities, and support services to ensure efficient, compliant, and cost-effective operations.
Key Responsibilities:
• Administrative Operations
o Plan, coordinate, and supervise day-to-day office administration including reception, mail, courier, travel arrangements, business visa and work permit applications, labour contract management and daily attendance records, staff bus and meal management.
o Develop and implement standard operating procedures (SOPs) for administrative processes to improve efficiency and consistency.
• Facilities and Workplace Management
o Oversee office facilities maintenance, cleaning, and safety compliance;
o Ensure compliance with local health, safety, and labour regulations; maintain emergency preparedness and safety drills.
• Procurement and Vendor Management
o Source, negotiate with suppliers for office equipment, furniture, IT supplies, and services; manage contracts and service level agreements.
o Track and optimize inventory of office supplies; implement procurement policies to reduce waste and cost.
• Manage travel and visa arrangements for staff and visitors as required.
• Human Resources Operation
o Oversee the whole HR operation including recruitment, training and supervise recruitment team.
o Handle all the HR issues including labor contract, leave, performance evaluation, etc.
o Support payroll administration.
Yêu cầu
Required Qualifications:
• 5+ years of experience in administration and HR; 2+ years in a supervisory/managerial role.
• Familiarity with Vietnam tax compliance, and general regulatory requirements affecting office operations.
• Strong experience in recruitment and good knowledge in Labour law.
• Proficiency in Vietnamese; strong written and spoken English is a must; knowledge of Chinese is an advantage.
• Strong organizational, multitasking, and problem-solving skills.
• Proficiency with MS Office (Excel, Word, PowerPoint, Outlook)
• Leadership and people management with the ability to motivate a team.
• Cost-control mindset.
• Attention to details.
• Ability to work under pressure and adapt to changing priorities.
• Basic IT literacy
