Responsibilities
1. Reception task
- Welcome guests and guide them to the appropriate contact person accordingly and accurately.
- Answer incoming calls on multi-line switchboard, and route phone calls to the appropriate contact within the company.
- Receive, categorize, and deliver posts, documents, etc. to related department/staff. Record & check-up on sent-out posts as well as post-fee.
- Manage and schedule the use of meeting rooms in the office.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
2. Admin task
- Order and prepare payment for stationary/groceries purchase/ drinking water/coffee/ office rental/ office machine for office.
- Ensure office equipment and facilities (meeting rooms, photocopiers, electricity, water, internet, plants, etc.) are well-maintained and functioning properly.
- Register and prepare payment taxi cards, Grab services, Parking card, ect.
- Support HR's events: Engagement activities, year-end party, company trip, children- days, woman day and other activities.
- Book air ticket, apply visa, rent car, book hotel, and other services for employees when required.
- Coordinate the implementation of training programs for lawyers and related reports.
- Prepare reports on expenses and office budgets.
- Perform other tasks as assigned by management.
Yêu cầu
- Bachelor's degree in Business Administration, Economics or relevant majors.
- Has at least 2-3 years of experience as Office Admin and Receptionist.
- Good English communication and interpersonal skills.
- Professional attitude and appearance.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent time management skills.
- Strong organizational skills, attention to detail, and problem-solving abilities.
- Experience in Reception and events is an advantage
- High adaptability and flexibility.
