Job Responsibilities
Perform daily administrative tasks to ensure smooth HR operations at the Store in terms of recruitment, HR management & reporting, SAP system, disciplining, employee relations and performance management, rules and regulations.
1. Recruitment Activities
Develop and execute recruiting processes and plans.
Ensure all vacancies are filled with suitable candidates within targeted timelines.
Act as a member of the recruitment interview panel.
Obtain and assess candidates' reference checks.
Maintain a recruitment database of qualified and potential candidates for current and future needs.
Be responsible for press advertisement placement and recommend innovative and creative designs to achieve the best results.
Develop and improve recruitment processes to be more innovative and cost-effective.
Advise hiring managers on recruitment-related matters.
Control recruitment expenses within the approved budget.
Conduct exit interviews and analyze reasons for resignation.
Plan, prepare, and organize job fairs to attract candidates.
Participate in employer branding activities.
Coordinate and implement university/college/vocational school recruiting initiatives.
Coordinate with universities and events related to targeted hiring.
Manage the Management Trainee Program to attract high-potential candidates.
2. HR Management & Reports
Supervise and follow up on subordinates' daily tasks to ensure smooth HR operations at the Store.
Identify and eliminate unnecessary tasks to improve staff productivity.
Regularly train and motivate subordinates in daily work.
Identify potential staff for succession planning purposes.
Build and promote team spirit.
Edit SAP system errors related to shift planning for Grade 3 and above (e.g. time events, shifts, night shifts, annual leave, etc.).
Be in charge of SAP processes for Grade 3 and above, including hiring, cessation, transfer, long-term absence, and resumption of work.
Manage all employee information and ensure data accuracy.
Check information and provide reports when required.
Be responsible for headcount and turnover rate reports.
Prepare weekly employee reports.
Support the Store Manager in improving store productivity (working hours, hiring balance, manpower planning, etc.).
3. Employee Relations & Performance
Manage, cooperate, and support the disciplining process.
Organize briefing sessions on the Performance Management process for three phases: goal setting, mid-year review, and year-end review.
Provide ongoing support and guidance to employees regarding the Performance Management process and ensure timely and effective implementation.
Participate in the implementation of ongoing improvement plans; standardize all forms and correspondence related to the process.
Identify issues in a timely manner and propose solutions to ensure the process is implemented properly and efficiently.
Support the collection of performance evaluation documents and analyze results.
Coordinate with the Trade Union to propose benefits and organize employee engagement activities and events.
Plan and organize company events (Best Employee, Best Practice, Long Service, etc.).
Support Employee Engagement Surveys and coordinate with other departments to develop action plans.
4. Rules and Regulations
Comply with all working procedures, company policies, rules, and regulations.
Monitor, remind, guide DL, GL, and general staff to comply with rules and regulations.
Advise line managers on HR-related matters.
Update and implement HR-related regulations and labor laws of Vietnam.
5. Other Duties
Support other departments when necessary.
Identify store-related issues and propose solutions for improvement.
Perform other tasks or responsibilities as assigned by the Deputy
HR Manager or HR Manager.
