Purpose of the position
To handle inbound shipments.
Main Duties & Responsibilities
• • Be responsible for managing the full import process from start to finish to achieve KPI.
. Follow external & internal SOP (if applicable)
• Liaise with oversea offices, other relevant departments, and 3rd party vendor to arrange shipment.
• Manage customer's order instruction to ensure processing with oversea offices, relevant departments and
3rd party vendor.
• Expedite / regularly monitor the status of shipments to ensure that oversea, 3rd party vendor arrange to
load, pick up goods as plan.
• Track shipments and send updates to overseas & customers if there are any delays.
• Handle incident, pre-claim and respond to customer inquiries, complaints, follow up Claims to
complete and close.
• Co-ordinate with oversea offices, shipping lines, inspection, insurance ... to do inspection for unusual cargo.
• Escalate any unresolved issues or risks to the next level of management.
• Send shipment list and report data to customer timely as per SOP.
• Verify oversea invoice to approve and post in CW1 systems.
• Check and verify 3rd party invoice as per approval matrix.
• Issue debit note/proforma invoice and book accrual cost in shipment/console and ensure billing/costing timely.
• Keep records of shipments in CW1 and MS Teams as Sea Import Procedure.
• Monitor and report irregularities, pre-claims, and problems to Supervisors and Line Manager.
• To back up other operational tasks.
• Any other duties that may be assigned by supervisor, manager, and the company.
Authorities
• In line with scope of tasks and in agreement with management
• Approve subcontractor/carrier's invoices as per approval matrix
• Require PPE for work as required by local law
• Refusing to work that violates the local law, internal procedures
Yêu cầu
Skills and Specification
• Management skills: Good customer management and problem-solving skills.
• Personality traits: Proactive, resourceful, responsible, independent, and assertive. A good team
player.
• At least 1 year of experience in logistics/ forwarding industry.
. Knowledge of local and overseas customs and regulations.
• Must be able to read, write and speak English fluently.
• Good at Microsoft excel, word.
• Respond promptly and professionally to customer needs.
• Identify and resolve problem in a timely manner.
• Follow policies and procedures and able to understand laws, rules and regulations in areas of
Assignment.
